Overview

The Director of POA Maintenance is responsible for the strategic planning, budgeting, and daily operations of all maintenance functions within the Property Owners Association (POA). This includes the oversight of road maintenance, POA-owned buildings, grounds, and the effective supervision of maintenance and roads crews. The Director ensures that all facilities and infrastructure are maintained to the highest standards of safety, appearance, and functionality in alignment with the community's goals and budget. 

 

Responsibilities
  • Develop, manage, and track the annual maintenance and capital improvement budgets. 
  • Forecast expenses and allocate resources efficiently across all areas of maintenance. 
  • Evaluate vendor contracts and negotiate favorable terms for services, materials, and equipment. 
  • Plan, coordinate, and oversee all capital improvement and maintenance projects from conception to completion. 
  • Ensure timely and cost-effective execution of projects while meeting quality standards and regulatory requirements. 
  • Coordinate with engineers, contractors, and vendors to ensure proper execution of repair and construction work. 
  • Oversee all maintenance, repairs, and improvements of POA-managed roads, including seasonal upkeep (e.g., snow removal, paving, grading). 
  • Develop long-term infrastructure improvement plans and schedules. 
  • Ensure the proper maintenance and functionality of all POA-owned buildings and facilities (e.g., clubhouse, admin offices, community centers). 
  • Conduct regular inspections and coordinate repairs or renovations as needed. 
  • Oversee landscaping, stormwater management, common area beautification, and general groundskeeping. 
  • Ensure compliance with environmental and safety regulations. 
  • Provide regular updates to the General Manager and/or POA Board regarding the status of projects, budgets, and operations. 
  • Respond to resident concerns or maintenance requests in a timely and professional manner. 
  • Maintain accurate records of work orders, inspections, and maintenance history. 
  • Carry out supervisory responsibilities in accordance with Castle’s policies and applicable laws.  
  • Other duties and responsibilities as assigned. 

 

Supervisory Responsibilities 

  • Supervise, lead, and manage the maintenance and roads crews, including hiring, training, scheduling, performance evaluation, and disciplinary actions. 
  • Oversee all POA maintenance activities including roads, grounds, buildings, and facilities. 
  • Develop and implement departmental policies, procedures, and standards for effective operations. 
  • Responsibilities include interviewing, hiring, and training, developing and mentoring employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Excellent organizational, communication, and problem-solving abilities. 

Proficient with Microsoft Office, project management tools, and maintenance management software. 

Valid driver’s license; CDL preferred but not required. 

 

Education and Experience 

  • Proven experience (5+ years) in maintenance or facilities management, preferably within a POA, HOA, municipality, or similar environment. 
  • Strong knowledge of construction, road repair, facility operations, and grounds maintenance. 
  • Demonstrated experience in budgeting, cost control, and project management. 
  • Strong customer service, communication, and interpersonal skills to help create effective customer-focused relationships with all levels within the organization.  
  • Able to work under tight deadlines and use time effectively based on key priorities. 
  • Effective written and verbal communication skills 
  • Intermediate command of computer hardware/software, specifically Microsoft Office Suite.
