Experience with higher education, residential facilities, SBU, State University of NY (SUNY), NYS, and/or Dormitory Authority of State of NY (DASNY) systems. Experience with NYS Office of General Services (OGS) procurement processes, Capital Construction, and/or renovation and rehabilitation procedures.
Brief Description of Duties:The Director of Business Operations for Campus Residences serves as the senior business and financial operations leader in Campus Residences, reporting directly to the Associate Vice President for Campus Residences. In addition to ensuring fiscal integrity, operational efficiency, and compliance, the incumbent leads and develops a team, fostering a culture of operational excellence and accountability across multiple operational departments. The Director works closely with Student Affairs and Campus Residences senior leadership to develop and implement financial strategies, manage budgets, direct business operations, and support operational excellence across multiple service areas. To be successful in this position, excellent analytical, organizational, and problem-solving skills are needed. It is essential for the Director to communicate and collaborate effectively across different departments and be able to present financial information to both financial and non-financial audiences.
Financial Management & Budget Oversight:- Oversee all operating, capital, and special-purpose funds and develop fiscal strategies aligned with organizational priorities.
- Direct the development, administration, and monitoring of annual budgets across all funding sources (Dormitory Income Fund Reimbursable (DIFR), DIFR-IFR, Capital, etc.), ensuring fiscal accountability and alignment with approved plans.
- Lead comprehensive financial and business operations, including budgeting, forecasting, financial analysis, business operations and reporting to support strategic decision-making.
- Partner with the Housing and Administration team to analyze, project and forecast bed allocation and room rate revenue for the upcoming fiscal year budget.
- Identify financial and operational risks and implement mitigation strategies.
- Monitor financial performance, identify variances, and implement corrective actions to ensure fiscal integrity and efficiency.
- Oversee procurement, contract management, accounts payable/ receivable, billing, revenue collection, and interdepartmental chargebacks to ensure accurate and timely processing.
- Provide financial oversight for major contracts, procurements, and capital projects, including operational and cost-containment analysis and recommendations.
- Ensure compliance with institutional policies, state regulations, audit requirements, and applicable reporting standards.
- Collaborate with financial leaders and stakeholders within Campus Planning, Design, and Construction, Campus Operations and Maintenance, Student Affairs, Campus Recreation, Central Budget Office, Accounting and the Division of Information and Technology.
- Develop and maintain MOUs with Campus Partners for both financial and operational needs. These will be reviewed on a yearly basis.
- Support Conferences and Community Centers by providing financial tracking, invoicing and receivables for those areas.
- Support emergency response and special event financial tracking (i.e. Storm response, FEMA reimbursement documentation, Residential Education events), ensuring accurate documentation and reporting.
- Participate in division-wide business and financial planning, policy development, and strategy decision-making processes.
- Prepare executive-level financial and business operations reports, analyses, and presentations to inform leadership planning and long-term strategy.
Administrative Responsibilities:- Partner with HR and senior leadership to develop and implement strategic staffing and resources allocations plans aligned with operational priorities and budgetary constraints.
- Oversee personnel budgeting, including salary forecasting, fringe benefits, and allocation across multiple funding sources.
Supervision & Leadership:- Directly supervise professional staff, including an Assistant Director of Business Operations and a Business Administrator.
- Provide leadership and functional oversight of departmental business and financial operations.
- Mentor and develop staff, fostering a high-performing, service-oriented team.
- Develop and implement business operations policies, procedures, and workflows.
- The incumbent will be a member of the Student Affairs Leadership Committee (SALC) and attend Division-led events and meetings.
- As the Director of Business Operations, the incumbent will attend all University-led financial leader meetings and adhere to the University's financial rules and regulations.
Professional Development and Committee Involvement- Participate in opportunities that promote your learning, growth, and development (i.e., classes, training, committees, webinars). Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas within and outside of Student Affairs (i.e., campus-wide traditions, events, programs).
- Other duties or projects as assigned as appropriate to rank and departmental mission.
- Evening and weekend work may be required at times.
Special Notes:This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
In addition to the employee's base salary, this position is eligible for $4,000 UUP annual location pay, paid biweekly.
