Overview
The Director, Executive Office is responsible for leading the organization's executive operations, Board of Directors support functions, and overall office functions. This role serves as a strategic partner to the CEO and senior leadership, ensuring effective governance processes, high-impact executive engagement, and seamless execution of Board-related activities.
This is a hybrid position that requires candidates to live in the Washington, DC area and be present in the downtown Bethesda, Maryland office on a regular basis (at least 3 days per week). Travel will be required for this role to our annual conferences and occasional overnight/weekend availability may be needed to support board and/or executive-level events. At ASHP, we consider skills, experience, and organizational needs in our compensation approach. The base salary for this position is $148,000-$184,500 and ASHP offers a comprehensive benefits plan. This salary range represents a reasonable estimate of the annual salary based on ASHP’s commitment to provide equitable and market-competitive pay. What You'll Be Doing
Board of Directors & Governance
- Oversee all Board of Directors operations, including agenda development, materials review, and meeting execution.
- Handles all executive communications, including confidential correspondence.
- Provide strategic oversight of the Committee on Nominations (CON) and election processes.
- Partner with executive leadership on Board and committee appointments.
- Ensure high-quality execution of governance meetings, VIP engagement, and executive experiences.
- Collaborate with key internal partners to support Board, governance, and office operations.
Executive Support
- Partner with the Chief Executive Officer to support organizational goals, manage priorities and calendar, and coordinate executive travel.
- Oversee and deliver Executive Office support for Midyear, Policy Week, Pharmacy Futures, Board meetings, and executive-level events.
Team & Office Management
- Lead and manage Executive Office staff, setting priorities and ensuring alignment with organizational goals.
- Oversee workload distribution, team development, and performance management.
- Supervise administrative teams, including recruitment, training, performance management, and task delegation.
- Manage office operations, serving as the point person for the building.
- Manage budgets for the Executive Office, Board of Directors, COO Office, and building operations.
- Develop and implement administrative procedures, policies, and management systems to improve workflow and efficiency.
- Oversee the office environment and coordinate all internal meetings, including room setup, technology, and staffing.
- Collaborate with senior leadership to align administrative processes and resource allocation with organizational objectives.
- Perform other duties as assigned.
What You Bring to ASHP
- Bachelor’s degree in business administration, Public Administration, or a related field required; advanced degree preferred.
- Minimum of seven (7) to ten (10) years of progressively responsible experience in executive administration, governance, or association management.
- Demonstrated experience supporting C-suite executives and/or Boards of Directors.
- Prior experience managing staff and organizational budgets required.
- Strategic thinking with the ability to manage complex, high-visibility initiatives.
- Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously.
- Strong interpersonal and communication skills, with the ability to engage senior executives, board members, and external stakeholders.
- High degree of discretion, professionalism, and sound judgment.
- Proficiency in Microsoft Office Suite, board management platforms, and contract management systems.
- This position is primarily based at the ASHP's headquarters with a regular on-site presence required (at least 3 days a week).
- Occasional evening and weekend availability may be needed to support Board and executive-level events.
- Travel will be required to ASHP meetings.
- Must be able to lift and move up to 35 pounds.
