We seek a talented Deputy Finance and Administration Manager to join our team on Bainbridge Island. This position will be tasked with learning and assuming all aspects of accounting, human resources, and administration with the goal of succeeding the current Finance and Administration Manager within the coming years. During this transition, the position will assume eventual ownership of all technical compliance of core systems including business administration, risk management, financial reporting & bookkeeping, tax preparation and filings, human resources including compensation and benefits, and property management.
Your Responsibilities
Business Administration
- Oversee Administrative/Bookkeeping Assistant and cover as needed in their absence
- Conduct company meetings, record information, and distribute meeting minutes
- Renew licenses, annual reports/information, and other requirements per state
- Renew commercial insurance policy
- Renew and oversee credit insurance policy renewals and customer credit coverages, monitor and mitigate business risk
Finance
- Oversee accounts receivable & accounts payable with direct handling of foreign currency hedges, spot buys, currency conversion and ACH transactions
- Administer bank accounts, daily transactional reviews, and annual renewals of credit
- Maintain Chart of Accounts/Classes
- Reconcile statements & general ledger
- Prepare financials for federal and state tax returns, handle select state returns
- Handle quarterly reporting with both consolidated and single entity reports and documentation (profit and loss, balance sheet, and other reports)
- Provide financial reports to German parent company for its preparation of consolidated financial statements
- Create and oversee annual budget
- Handle assets and inventory adjustments
- Maintain internal standard operating procedures
- Adherence to Generally Accepted Accounting Principles
Human Resources
- Onboard and offboard employees
- Maintain Employee Records
- Handle Visa Requirements
- Process payroll reports and verify payroll accuracy from external CPA
- Administer and enforce employee policies
- Adhere to legal requirements and best practices
Property Management
- Oversee property manager
- Ensure lease renewals and collection/changes in rent & property management fees
Your Qualifications
This position requires a 4-year degree in accounting/business administration with 5 years of experience in the accounting field or 10 years of experience in accounting with an understanding of human resources and business administration
Systems Experience:
- QuickBooks or other ERP
- Jira and Confluence or other collaboration software
- Slack or Teams or other messaging systems
- BambooHR or other human resources software
- Avatax or other sales tax software or a good understanding of sales tax
- Microsoft Office including Excel, Word, and Outlook

Salary Range
- PHYTEC cares deeply about equitable and fair pay. The base salary pay range for this position is $85,000 to $115,000 annually
- Please keep in mind this range represents the pay range for positions in the job category within which this position falls. The actual offer will consider a wide range of factors including education and experience.
