Step into Your New Role 

 

Kleinfelder has an exciting opportunity for a Corporate Legal Specialist. The Corporate Legal Specialist provides operational, administrative, and project support to the Legal Department. This role is responsible for coordinating contract administration, corporate governance activities, entity management, claims administration, litigation support, legal invoice processing, subpoena management, due diligence activities, legal training coordination, and other legal operations functions. The successful candidate will possess strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality. 

 

Responsibilities:  

  • Manage Agiloft CLM platform; track and respond to CLM helpdesk tickets; maintain contract log and produce reports as needed; update standard contract forms.
  • Assist with processing and responding to certificate of insurance requests; coordinate with insurance brokers as necessary; ensure timely processing of insurance invoices.
  • Coordinate with third-party vendors to ensure timely filing of annual reports and CoA renewals; assist with new entity registrations and CoA applications; maintain entity database and update entity organization chart.
  • Manage Legal Tracker claims and litigation database; schedule and coordinate claim review meetings; provide notice to insurers.
  • Maintain legal calendar; schedule legal department and other meetings as required.
  • Assist with financial audit responses; apply cost codes to legal invoices to ensure proper allocation; process legal invoices through Legal Tracker; process payment of legal-related expenses and vendor invoices.
  • Review subpoenas and coordinate with project teams to identify, copy, and redact responsive documents; conduct privilege review under attorney supervision; coordinate document production with IT personnel and third-party vendors; assist with the issuance of legal holds.
  • Assist with due diligence activities.
  • Maintain legal SharePoint site and shared legal drive.
  • Coordinate legal and compliance training programs; maintain training database.
  • Respond to legal disclosure requests associated with proposals, qualification submissions, and client questionnaires; coordinate collection of corporate information and supporting documentation.
  • Prepare legal board reports; assist with board resolutions, written consents, and corporate compliance tasks; maintain corporate records and governance documentation.
  • Assist with internal investigations; route garnishments to payroll and ensure timely processing.

  • Proficiency with Microsoft Office Suite, SharePoint, and document management systems.
  • Experience with legal technology platforms such as Legal Tracker, Agiloft, and Everlaw.
  • Ability to work independently and manage competing priorities.
  • Understanding of risk management and contracting preferred.
  • Familiarity with corporate entity management, claims administration, and legal billing processes preferred.

 

Education: Bachelor’s degree in business or related field required.

 

Experience: 5+ years of experience in a legal department, law firm, risk management department, corporate governance function, or related business environment. Experience supporting contract administration, litigation management, corporate governance, or legal operations for an engineering/consulting company preferred.

The expected salary range for the position is displayed in accordance with the California Pay Transparency Law.  Final agreed upon compensation is based upon individual qualifications and experience. Salary Range: $68,640-$105,487.
