Full Job Description
Responsibilities
  • Oversee the full lifecycle of contract administration, including receipt, routing, approval, execution, and secure storage of contracts.
  • Maintain and improve the company's contract management system, ensuring accurate tracking of key dates, renewals, and compliance requirements.
  • Manage contractor licensing and corporate compliance across multiple states and legal entities, including new applications, renewals, amendments, and monitoring regulatory changes.
  • Coordinate and maintain Secretary of State registrations, annual reports, and business registrations for new jurisdictions.
  • Administer insurance and risk documentation, including Certificates of Insurance, surety bonds, and coordination with brokers and project teams.
  • Support vendor and client compliance by maintaining prequalification platforms (e.g., ISNetworld, Avetta, Veriforce, Highwire) and coordinating documentation for onboarding and qualification requests.
  • Develop and maintain compliance calendars, standardized procedures, and reporting dashboards for executive leadership.
  • Identify and implement opportunities to improve workflows through technology and automation.
  • Collaborate closely with Legal, Risk Management, Accounting, Operations, Business Development, and Human Resources to support compliance and business expansion initiatives.
  • Assist with special projects related to corporate compliance and governance as needed.
Qualifications
  • Bachelor's degree or equivalent experience.
  • 5+ years of experience in contracts, compliance, licensing, legal administration, corporate governance, or related fields.
  • Exceptional organizational and project management skills, with strong attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office, especially Excel and SharePoint.
  • Experience managing multi-state contractor licensing (preferred).
  • Background in construction, industrial services, engineering, or environmental industries (preferred).
  • Familiarity with contract management software (preferred).
  • Experience with entity management, Secretary of State filings, insurance certificates, and surety bonds (preferred).
  • Experience with compliance management software such as Harbor Compliance, CSC, or similar platforms (preferred).
  • Strong analytical and critical thinking skills, with a mindset focused on continuous improvement.
  • Professional judgment, discretion, and the ability to communicate effectively with executives, attorneys, regulators, and operations personnel.
