What this job involves:

As a Project Coordinator with JLL Project and Development Services (PDS), you will provide essential support to the Project Management Office and Project Management team within your assigned region. This position offers an excellent opportunity to build your expertise in construction project administration while collaborating with a dynamic team that utilizes industry-leading project management technology. You will play a vital role in ensuring smooth project execution from start to finish, overseeing critical data management, financial processes, and project documentation that keep complex initiatives running efficiently.

We are seeking a project coordinator who demonstrates the drive to get things done and takes a proactive approach to their work-someone who thrives in and quickly adapts to a constantly changing environment. The ideal candidate will bring the experience needed to work with minimal oversight, effectively planning, prioritizing and organizing a diverse workload across various project types. You will be a strong collaborative partner, working closely with the team to achieve project goals and deliver exceptional results.

What your day-to-day will look like:
  • Supporting project managers throughout the complete project lifecycle, from initial planning through construction and final closeout, ensuring adherence to established guidelines and quality standards.
  • Maintaining project documentation and files in compliance with JLL and Client requirements and ensuring projects are audited at time of project closeout.
  • Navigating and performing tasks efficiently across multiple systems and platforms, ensuring seamless data flow and consistency between procurement, financial, document management, and project tracking systems.
  • Processing purchase orders, change orders, and budget approvals while maintaining meticulous project documentation and organizing critical files to support seamless project execution.
  • Coordinating with vendors and supporting Project Managers with vendor management activities, serving as a liaison to ensure timely responses and proper documentation throughout the project lifecycle.
  • Reviewing vendor invoices to confirm accuracy of billing information, verify completion of work, and ensure all required approvals are obtained before processing payments.
  • Monitoring project databases and real-time reporting systems to maintain data integrity, track key performance indicators, and ensure projects remain within budget and on schedule.
  • Utilizing PDS technology platforms to support account metrics, analyze schedule and financial performance data, and ensure procurement compliance across multiple simultaneous projects.
  • Developing subject matter expertise in the Ingenious platform to serve as a
  • resource for Project Managers, providing system guidance, troubleshooting support, and training to enhance team proficiency and system adoption.
  • Assisting Project Managers with downloading, organizing, and archiving critical project documentation including As Builts, asbestos reports, permits, warranties, and other closeout deliverables to support compliance and record-keeping requirements.
  • Collaborating closely with your PMO teammates to implement best practices, support process improvements, and maintain the high service standards that define JLL's client relationships.

Required Qualifications:
  • Minimum 2 years of practical experience in construction management or real estate management specifically in a project administration, coordination, or accounting support capacity.
  • Demonstrated proficiency with Microsoft Office Suite, particularly Teams, Excel, SharePoint, and PowerPoint, with ability to leverage these tools for reporting, collaboration, and presentation purposes.
  • Proven ability to work effectively in a matrixed corporate environment, managing multiple projects simultaneously while maintaining exceptional attention to detail and data accuracy.
  • Strong written and verbal communication skills with ability to communicate succinctly and professionally with executive-level stakeholders and cross-functional team members.
  • Ability to navigate and work efficiently across multiple technology platforms and systems simultaneously, with aptitude for learning new software applications.

Preferred Qualifications:
  • Bachelor's Degree (BA/BS)
  • Accounting or contracts experience in the construction or real estate industry, providing foundational understanding of financial processes and documentation requirements.
  • Experience with Ingenious and Corrigo or demonstrated ability to quickly learn specialized project management platforms.
  • Background supporting projects within corporate real estate environments, with understanding of how construction initiatives integrate with broader business operations.
  • Familiarity with construction terminology, project phases, and typical workflows that occur throughout the lifecycle of a project.
  • Track record of proactive problem-solving and identifying process improvements, demonstrating initiative beyond assigned responsibilities.
  • Professional interest in career development within project management, construction management, or real estate services, with openness to skill development opportunities.

Estimated compensation for this position:

73,500.00 - 106,700.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
