POSITIONSUMMARY
TheChief Financial and Operating Officer (CFOO) is a critical member of the seniorleadership team and a trusted partner to the Head of School, the Board ofTrustees, and school leaders across all divisions. This leader is accountablefor the comprehensive management of St. Martin's financial, operational, andphysical resources, ensuring that the school's people, systems, and assets arealigned with its mission and Strategic Plan 2025.
TheCFOO brings both strategic perspective and disciplined execution, overseeingfinance and accounting, human resources, facilities and grounds, technology,food service, auxiliary and summer programs, safety and insurance, andcompliance. The CFOO serves as liaison to the Board's Finance, Physical Assets,and Risk Management committees, maintaining the highest standards oftransparency, stewardship, and institutional integrity.
KEYRESPONSIBILITIES
Strategic Financial Leadership
• Serveas a trusted financial advisor to the Head of School and Board of Trustees;attend all regular Board meetings and Finance, Physical Assets, and RiskManagement committee meetings to provide accurate and complete financialinformation in support of fiduciary responsibilities.
• Leadthe annual operating budget process, incorporating input from all divisions anddepartments; develop multi-year financial models aligned with strategicpriorities and enrollment trends.
• Provideclear, insightful financial analysis and reporting to support institutionaldecision-making, including investment, capital project, and reserve managementreports.
• Ensurestrong stewardship of operating funds, reserves, debt, and the endowment;monitor all loans and indebtedness, including inter-fund loans and transfers;coordinate financing of major capital projects in partnership with the Head ofSchool and Board committees.
• Developrecommendations to the Finance Committee on tuition increases, financial aidbudgets, and salary planning.
• Collaboratewith the Director of Development to establish operating support targets andalign financial planning with philanthropic priorities and capital campaigns.
Accounting, Compliance &Business Office Operations
• Directall financial operations, including payroll, accounts payable, accountsreceivable, cash management, student billing in FACTS, financial aid managementin Clarity, employee benefits administration, and annual audits.
• Establishand maintain sound internal controls and financial procedures in compliancewith GAAP and applicable FASB standards, including ASC 958, which governsnot-for-profit financial reporting, net asset classification, and revenuerecognition; supervise all accounting and bookkeeping personnel.
• Overseepreparation of accurate and timely financial statements; coordinaterelationships with independent auditors, manage annual audit work papers, andrespond to auditor recommendations.
• Ensurecompliance with all applicable local, state, and federal regulations, includingADA, OSHA, IRS reporting, EPA, and all independent school standards.
• Leadand mentor the business office team, fostering professional growth,accountability, and a culture of service and excellence.
Operations & FacilitiesManagement
• Provideleadership and integration across all operational functions, ensuringefficiency, effectiveness, and alignment with institutional goals and theStrategic Plan.
• Superviseand support the Director of Facilities in establishing and maintainingstandards of building maintenance and cleanliness; monitor priorities andschedules for timely completion of work.
• Serveas school liaison for campus master planning and capital construction;coordinate planners, architects, engineers, and contractors for majorrenovation and building projects under the direction of the Facilitiescommittee.
• Overseethe management and scheduling of all campus facilities for school activitiesand external groups; supervise arrangements and services for outside events.
• Managea comprehensive Facilities and Grounds Plan in alignment with Strategic Plan2025, prioritizing enhancements that elevate the campus environment and studentexperience.
• Ensureall safety systems are fully functioning; coordinate with government andinsurance inspectors to ensure compliance with all health, safety, and buildingcodes.
• Identifyand manage preventive maintenance and capital project initiatives forbuildings, mechanical systems, grounds, and equipment.
Human Resources Leadership
• Providestrategic oversight of the human resources function in close partnership withthe Director of Human Resources, ensuring alignment between financial planning,compensation strategy, and institutional priorities.
• Overseeimplementation of all personnel programs and policies related to hiring andtermination, time off, Workers' Compensation, safety, training, performanceevaluation, and compensation.
• Assistthe Head of School and Board in establishing and enhancing employee benefitprograms; provide internal and external salary comparison data and overseepreparation of employment contracts.
• EnsureHR systems, policies, and employment practices comply with all applicable stateand federal regulations.
• Partnerwith the Director of Facilities in hiring all support staff for the maintenancedepartment.
Student Billing & FinancialAid
• Supervisestudent enrollment contracts and accounts receivable in FACTS; oversee theadministration of student financial aid in Clarity.
• Manageaged accounts receivable; work directly with families on financial mattersrelated to their children's enrollment.
• Collaboratewith the Director of Enrollment Management and Head of School in the analysis,review, and approval of individual financial aid awards.
• Administerthe tuition refund insurance program, including review and approval of claims.
• Supportenrollment management and tuition strategy through financial modeling andscenario planning aligned with the school's strategic enrollment goals.
Safety, Insurance & RiskManagement
• Overseeenterprise risk management, including financial, operational, and regulatoryrisks; serve as liaison with the school attorney.
• Workwith insurance advisors and brokers to ensure that adequate, appropriate, andcost-effective insurance is maintained, including public liability, propertyand casualty, directors and officers, and Workers' Compensation.
• Advisethe Head of School of any situations that may present potential safety or legalrisks to the school.
• Overseeongoing safety and security audits, training, and emergency protocols to ensurethe well-being of students, faculty, staff, and visitors across all campuses.
Auxiliary Services & RevenueDevelopment
• Superviseand support the Food Service Director to ensure high-quality, nutritiousdining.
• Evaluateand maximize auxiliary income sources, including facilities rental andlicensing; help identify and launch new revenue streams to support long-terminstitutional sustainability in alignment with the Strategic Plan.
• Developand monitor key financial and operational metrics to assess program performanceand inform strategic decisions.
Leadership & Cross-FunctionalPartnership
• Serveas a collaborative and visible leader across the St. Martin's community,building trust and credibility with faculty, staff, students, families, alumni,and Board members.
• Maintainprofessional relationships with the school's banks, lawyers, auditors, investmentmanagers, insurance carriers, architects, contractors, vendors, and governmentregulators.
• Partnerclosely with academic and administrative leaders to support programmaticinnovation and ensure operational needs are met in service of the mission.
• Fostera culture of accountability, service, integrity, and continuous improvementacross all departments reporting to the CFOO.
• Collaboratewith advancement leadership to align financial planning with fundraisingpriorities, endowment growth, and donor relations.
QUALIFICATIONS
Professional Experience
• Significantexperience in financial and operational leadership within an independent schoolor similarly complex, mission-driven nonprofit organization; prior independentschool CFO/CFOO experience is strongly preferred.
• Demonstratedsuccess overseeing budgeting, financial planning and analysis, accounting,reporting, and audits in a nonprofit environment.
• Provenability to lead and integrate multiple operational functions includingfacilities management, human resources, food service, technology, and auxiliaryservices.
• Provenability to develop long-range financial models, build multi-year capital plans,and align resources with strategic institutional priorities.
• Experienceworking closely with a Head of School (or equivalent) and a Board of Trustees,including committee engagement and governance support.

Financial & TechnicalExpertise
• Deepknowledge of nonprofit financial management, including budgeting, forecasting,internal controls, cash management, contract negotiation, and audit processes.
• Stronganalytical skills with the ability to synthesize and communicate complexfinancial information clearly to diverse audiences.
• Proficiencywith Microsoft Excel, Google Suite, and Adobe Acrobat; experience withBlackbaud software is highly recommended.
• Understandingof enrollment dynamics, tuition modeling, and financial sustainability inindependent schools.
• Workingknowledge of evolving technology, including AI tools, and a commitment toleveraging technology to improve institutional effectiveness.
• Facilityand grounds management skills; project planning and management experience.

EDUCATION& CREDENTIALS
• Bachelor'sdegree required; advanced degree in business, finance, accounting, or a relatedfield preferred.
• CPA,MBA, or other advanced professional credentials are valued but not required.
• Minimumof five years of management experience, preferably at the senior level of anindependent school or nonprofit organization.
