Overview

Nakupuna Companies is looking for a Business Operations Manager to support a client of the Office of the Secretary of War (OSW). The ideal candidate plays a critical role in providing high-level operational, administrative, and strategic support within a fast-paced, Front Office environment. This role serves as a leader directing executive correspondence, task management, and component processes.

Responsibilities

The following reflects management's definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign additional duties and responsibilities to this job at any time due to mission requirements and reasonable accommodation.

  • Perform complex tasks involving gathering, analyzing, and compiling data and information into well-written reports and presentations, to support senior leader decision making. Evaluate, integrate, analyze, and interpret information in conjunction with other Department staff elements.
  • Review, screen, control, maintain records, and coordinate responses on incoming correspondence.
  • Keep senior leadership and supported staff informed of relevant organizational events which include working in close coordination Department-level leaders and staff; synchronizing and coordinating efforts across all teams; providing coordination and liaison with other contractors assigned to the supported Department to facilitate decisions by leadership; organizing and de-conflicting meetings and action responses; assisting in strategic, operational, and tactical planning for the supported Department.
  • Receive, analyze, manage, track, and execute all actions related to tasks assigned to the supported Department received within the Correspondence and Task Management System (CATMS).
  • Provide tasker support, to include researching resources and coordinating with other action officers.
  • Edit and produce final copy of formal correspondence, correspondence summaries, briefings, reports, and a wide variety of other analytical, process flow, spreadsheets, and documents.
  • Manage multiple projects and priorities, and initiate follow up to ensure timely achievement of commitments, to include managing classified and unclassified distro lists and restricted folders.
  • Foster a culture of continuous improvement within the project team, identifying areas for enhancement and implementing process improvements for increased efficiency and effectiveness.
  • Communicate verbally and in writing at the highest levels of government. Draft DoW senior executive decision documents and presentations, to include briefings and data, in accordance with available templates, formats, and style guidance.
  • Manage and facilitate the Freedom of Information Act (FOIA) process for the office, ensuring legal compliance, proper redaction, and timely responses to inquiries.
Qualifications

Skills & Qualifications:

  • Familiarity with the DoW acquisitions process (preferred)
  • Demonstrated experience managing manage multiple projects, keep track of, or adjust existing tasks while identifying new tasks and expectations as projects evolve.
  • Demonstrated ability to write clear, concise, and articulate correspondence with a focus on quality control and attention to detail.
  • Strong interpersonal and customer service skills that foster teamwork and create positive relationships with staff and principals.
  • Document, draft, and review a wide range of executive memos and other types of correspondence.
  • Ability to prioritize, multi-task, plan, problem solve and adapt in a fast-paced and strategic environment under minimal supervision.
  • Familiarity with task management platforms.
  • Excellent organizational skills and attention to detail.
  • Highly proficient in SharePoint and Microsoft Office Suite, including Word, PowerPoint, and Excel.
  • Working knowledge of federal FOIA regulations and procedures.

Education and Experience:

  • A Bachelors Degree in a related area.
  • 10 years of program management experience responsible for support planning, developing, and executing major programs within the DoW, preferably within OSW.

Clearance Requirement: This position requires a Top Secret/SCI security clearance. Must be a U.S. citizen.

Physical Requirements: The ideal candidate must at a minimum be able to meet the following physical requirements of the job with or without a reasonable accommodation:

  • Ability to perform repetitive motions with the hands, wrists, and fingers.
  • Ability to engage in and follow audible communications in emergency situations.
  • Ability to sit for prolonged periods at a desk and working on a computer.
  • Ability to walk for extended periods throughout the work day including moving between buildings and covering long distances by foot.

The Nakupuna Companies use a market-based compensation strategy to ensure that our employees are compensated within applicable market ranges commensurate with multiple factors, including but not limited to the individuals particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability, organizational requirements, and position location. The projected compensation range for this position is $135,000 to $155,000 (annualized USD). The salary range displayed represents the typical salary range for this position and is just one component of Nakupuna Companies total compensation package for employees.
