Job Summary

Versa Networks is seeking a highly organized and resourceful Business Manager to serve as the operational backbone for our executive team and keep our Santa Clara office running at its best. This is a fully on-site role - five days a week in the office - built for someone who thrives on being the go-to person for organization needs. You'll keep the day-to-day humming: coordinating executive schedules, running all-hands and internal events, setting up meeting rooms, and making sure the team is well-fed and well-supported. The ideal candidate brings a service-first mindset and takes pride in the details.
What You'll Do:

Executive & Administrative Support
  • Own the day-to-day office environment, ensuring a clean, organized, and welcoming space for employees and visitors
  • Manage relationships with building management, vendors, and service providers (cleaning, maintenance, security, etc.)
  • Order and maintain office supplies, snacks, beverages, and kitchen essentials; coordinate Friday bagel delivery as a weekly team tradition
  • Organize team lunches, catering and logistics for internal events and off-sites
  • Set up and reset meeting rooms before and after executive meetings, all-hands, and internal events
  • Manage office seating, badge access, mail & courier services, shipping and deliveries
  • Coordinate with IT on office technology needs, equipment provisioning, and troubleshooting support for executive and meeting room setups

Executive Support
  • Serve as a dedicated personal assistant to the executive team - managing calendars, scheduling executive leadership meetings, board meetings, internal offsites, customer meetings, and anticipating needs across time zones
  • Plan and coordinate all-hands meetings, leadership offsites, customer visits, and board-level meetings
  • Handle confidential information with the highest level of judgment and integrity

Events & Workplace Experience
  • Own the end-to-end logistics for internal events - all-hands, team celebrations, holiday parties, and executive offsites - in close partnership with People Operations.
  • Assist with new employee onboarding by preparing workspaces, coordinating with IT for equipment setup, and ensuring a smooth first-day experience.
  • Support procurement activities and vendor management as needed.
  • Manage logistics for visiting guests, candidates, and external partners, including hospitality and room setup
  • Provide occasional off-hours remote support to executives as needed - this role may require availability outside standard business hours.
  • Foster a welcoming office environment for employees, customers, partners, and visitors.
  • Continuously look for opportunities to improve the office experience, event quality, and executive support processes.

Requirements
What You'll Bring:

Required Qualifications
  • 5-10 years of experience as a personal assistant, executive assistant, office manager, or in a similar operational support role
  • Proven experience supporting senior executives (C-suite or VP-level) with calendar management, travel coordination, and meeting logistics
  • Strong organizational skills with the ability to juggle multiple priorities in a fast-paced environment
  • Hands-on, no-task-too-small, can-do attitude - equally willing to plan a company all-hands or run out for Friday bagels
  • Excellent written and verbal communication skills
  • Able to work independently & as part of a team
  • High degree of discretion and sound judgment when handling confidential or sensitive information
  • Proficiency with common productivity and collaboration tools (Google Workspace or Microsoft 365, Slack, Zoom); comfort coordinating with IT teams
  • Experience managing vendor relationships and basic budget tracking

Preferred Qualifications
  • Experience at a technology company or in a high-growth startup environment
  • Familiarity with travel booking platforms
  • Experience supporting board meetings or investor relations logistics

The pay range for this position at commencement of employment in California, Washington, or New York City is expected in the range of $100,000 to $130,000. A candidate's specific pay within this range will depend on a variety of factors, including job-related skills, training, location, experience, relevant education, certifications, and other business and organizational needs.
