Purpose

The Billing Manager - Northeast Region and National Accounts is responsible for overseeing the region's daily billing functions of this region and customer group while leading the Billing Specialist team. Reporting to the National Manager of Billing and A/R, this position would lead the billing processes that ensures efficient and effective methods that meet company goals and standards.

Duties and Responsibilities

The Billing Manager - Northeast Region and National Accounts is responsible for but not limited to the following within the Northeast Region and with National Account customers:
  • Implements, maintains, and reviews billing processing systems to ensure timely and accurate processing of invoices and revenue accruals.
  • Operates as the subject matter expert and escalation point to resolve issues and continuously looks for improvements in billing processes and designs and implements those initiatives.
  • Coordinates with tax department to review state and local tax on invoices to ensure compliance and educate and train staff on correct codes.
  • Facilitates audits including financial statement audits, borrowing base audits, and customer audits by providing records and documentation to auditors.
  • Collaborates with Finance and Operations regarding standard operating procedures.
  • Leads the billing team in the day-to-day operations of the billing department.
  • Optimizes the contribution of the team through coaching, counseling and implement workable solutions to business issues/problems.
  • Conducts work planning, estimation, and prioritization to optimize performance of team and work collaboratively to define standards and reusable approaches for billing operations.
  • Monitors and adjusts workflows of staff to ensure balanced distribution of the workload and offers professional growth through delegation where appropriate.
  • Assists in developing change management communications.
  • Track KPIs and review with National Manager of Billing and A/R to facilitate improvement.
  • Work closely with Collections Team to reduce DSO.
  • Arranges timeline to complete tasks and department assignments or projects, and meet the deadlines related to those assignments.
  • Works on special projects to help achieve the objectives of the department.
  • Develops all direct reports through performance management and leadership development.
  • Travels domestically to different Maxim locations for training and development purposes.

Requirements

Education:
  • BS in Accounting, Business Administration, or related field or equivalent work experience required.

Experience:
  • At least five years of progressive work-related experience with at least three year of supervisory experience.
  • Preferred
    • Experience with JDE or equivalent ERP System
    • Experience working in a construction and/or rental based environment


Skills
  • Moderate level communication skills, must be able to read and comprehend simple instructions, short correspondence and memos and the ability to write simple correspondence
  • Moderate level proficiency in MS applications
  • Advanced ability to problem solve and make sound decisions during high pressure situations
  • Advanced level multitasking skills with ability to meet deadlines
