Department Summary: The Associate Registrar for Curriculum & Scheduling provides strategic leadership and operational oversight for the university's curriculum management, academic scheduling, catalog administration, and classroom scheduling processes. This position supervises the Senior Assistant Registrar for Scheduling, Bulletin Manager, and Academic Affairs Coordinator while ensuring the accuracy, integrity, and effectiveness of curriculum and scheduling operations. The Associate Registrar collaborates with academic affairs, strategic enrollment management, information technology, and institutional stakeholders to support academic planning, student success, regulatory compliance, and institutional priorities.

Duties & Responsibilities:

  • Lead the administration and optimization of curriculum and scheduling technologies, including student information systems, curriculum management and catalog software, and classroom scheduling platforms.
  • Ensure office staff are trained in the use of the software and periodically train academic department users as required. Incorporate cross-training of staff to ensure redundancy of expert knowledge in software use.
  • Monitor and make recommendations on software upgrades.
  • Leverage data analytics to analyze enrollment patterns, classroom utilization, course demand, and scheduling trends to support data-informed decision-making and resource allocation.
  • Oversee the class scheduling of all classes required by academic units each term. Assist with the formulation of a time line for the submission of the schedule of classes and for the submission of adds, edits, deletions, and cancellations.
  • Collaborate with academic departments, colleges, enrollment management, and institutional leadership to facilitate curriculum changes, schedule development, and strategic academic planning.
  • Provide strategic oversight of curriculum management processes, including course and program approvals, curriculum work flows, academic bulletin production, and maintenance of course inventory data.
  • Lead system implementations, upgrades, testing initiatives, process improvements, and special projects related to curriculum and scheduling operations.
  • Supervise the Senior Assistant Registrar for Scheduling, Bulletin Manager, and Academic Affairs Coordinator; establish performance expectations, prioritize workload, and support professional development.
  • Establish and maintain policies, procedures, and operational standards related to curriculum and catalog administration, course scheduling, and classroom utilization. Ensure data integrity across curriculum, course, classroom, and scheduling records; develop and implement quality-control processes and auditing procedures.
  • Serve as the institutional subject matter expert for curriculum and scheduling processes, providing consultation, guidance, and change-management support to campus stakeholders while fostering continuous improvement and operational effectiveness. Develop reports, metrics, and assessments related to scheduling efficiency, classroom utilization, and curriculum for university leadership.
  • Represent the Office of the University Registrar on university committees, task forces, and cross-functional initiatives related to academic operations and student success.
  • Perform other duties as assigned in support of the Office of the University Registrar and institutional objectives.

  • Bachelor's degree or equivalent training and/or experience.
  • Significant and progressive experience in a registrar's office or similar environment.
  • Professional experience with student information systems, preferably Banner.
  • Excellent oral and written communication skills.
  • Ability to use analytical thinking to research and resolve problems.
  • Ability to understand, apply, and maintain a current knowledge of applicable VCU policies and procedures.
  • Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.

Preferred Qualifications

  • Experience in a large university setting, ideally performing registrar office duties.
  • Functional experience with the VCU academic regulations and processes.
  • Experience writing reports with a tool such as SAS Enterprise Guide.
  • Experience training groups of people from broad and varied backgrounds and experiences.

Salary Range: $80,000 - $85,000
