Full Job Description
Job Summary:

The Associate, Meetings and Congresses supports the planning, coordination, and execution of Sun Pharma's participation in commercial, medical congresses, industry tradeshows, and corporate meetings. This role partners closely with internal stakeholders and external vendors to deliver compliant, high-quality events that support brand, scientific, and commercial objectives.

Responsibilities:

Event Planning & Execution
  • Support the end-to-end planning and execution of commercial, medical congresses, tradeshows, and regional conferences.
  • Coordinate logistics including registration, housing, exhibitor services, shipping, on-site services, and staffing support.
  • Assist with booth execution, sponsorship fulfillment, and on-site event operations.

Portable Display & Asset Management
  • Manage Sun Pharma's portable display inventory stored with an external vendor.
  • Coordinate shipment of portable displays and supporting materials to congresses and meetings, ensuring timely delivery and proper handling.
  • Oversee return logistics to the storage vendor following events, confirming assets are inspected, restocked, and ready for future use.
  • Track inventory levels, asset condition, and storage needs; flag maintenance or replacement issues as needed.

Cross-Functional Coordination
  • Collaborate with Brand Marketing, Sales, Medical Affairs, Market Access, Compliance and Corporate Communications to support event objectives.
  • Serve as a point of contact for internal teams requiring portable displays or congress assets.
  • Support speaker programs, advisory boards and ancillary meetings associated with congresses as needed.

Compliance & Documentation
  • Support compliance with Sun Pharma policies and applicable regulatory requirements for all events.
  • Assist with documentation, approvals, contract routing and compliance tracking related to tradeshows and congresses.
  • Ensure timely completion of post-event reporting and documentation.

Vendor & Budget Support
  • Coordinate with external vendors, including exhibit houses, production agencies, logistics providers and storage partners.
  • Assist with budget tracking, invoice processing and purchase order management.
  • Support cost-control efforts and tracking of spend against forecast.

On-Site Event Support
  • Travel to assigned events to support on-site execution and troubleshoot logistics issues.
  • Assist with exhibitor booth management, meeting room coordination and internal team support.
  • Participate in post-event debriefs and help document learnings and best practices.


Education & Qualifications:

The presently-anticipated base compensation pay range for this position is $84,50000 to $103,500. Actual base compensation may vary based on a number of factors, including but not limited to geographical location and experience. In addition, this position is part of the Annual Performance Bonus Plan. Employees are eligible to participate in Company employee benefit programs which include medical, dental and vision coverage; life insurance; disability insurance; 401(k) savings plan; flexible spending accounts; and the employee assistance program. Employees also receive various paid time off benefits, including vacation time and sick time.
