ITS Administration & Operations serves as the business and operational backbone of Information Technology Services (ITS), providing leadership and support for human resources, finance, budgeting, procurement, payroll, facilities, inventory, administrative services, and organizational planning. Our team helps ensure ITS can effectively deliver technology services to the university by managing resources, driving process improvement, maintaining compliance, and partnering with leaders across campus to support strategic decision-making and operational excellence.
Responsibilities Provides leadership for human resources administration, workforce operations, faculty and academic appointment processes, executive administrative support operations, and administrative governance across the ITS Portfolio (Main ITS, NWRDC, FLVC, ODL, and ITS Campus Alignment units). Establishes standards, improves HR workflows, advises on policy and compliance, supports campus IT role transitions, and prepares HR processes for responsible use of automation, analytics, and future-ready tools. Serves as a senior administrative advisor to the Senior Director and ITS leadership, with delegated responsibility for workforce oversight, administrative consistency, staff and intern development, coordination with budget and finance leadership, and continuity for assigned operations.
Administrative Governance, HR Strategy, and Campus Alignment - Leads assigned HR and administrative service areas across the ITS Portfolio. Establishes standards for workforce administration, position management, appointment workflows, executive administrative support processes, documentation, service quality, compliance, and responsible use of automation and future-ready administrative tools. Advises the Senior Director and ITS leadership on HR process design, organizational transition needs, workforce impacts, administrative risk, administrative support coverage, and opportunities to modernize HR operations. Supports ITS Campus Alignment by guiding HR and administrative readiness for campus IT role transitions. Oversees position descriptions, position profiles, personnel actions, funding extensions, salary/rate updates, onboarding coordination, employee records, and time and leave administration support.
Faculty, Academic Appointment, and ODL Administrative Systems - Provides administrative leadership for faculty, staff, teaching assistants, mentors, and academic appointment processes supporting ODL and online course delivery within the ITS Portfolio. Oversees high-volume appointment workflows, split appointments, payroll-related appointment actions, AORs, FACET-related processes, certifications, salary, and OPS appointment reporting, and related academic department support. Advises faculty, supervisors, program administrators, and staff on appointment procedures and documentation requirements. Supports faculty bylaws/templates, specialized faculty appointment structures, promotion and tenure committee support, and reporting for the University and external stakeholders.
Policy Implementation, Compliance Oversight, and Administrative Risk - Provides senior-level guidance on University HR policies, workforce procedures, appointment rules, time and leave expectations, documentation standards, and administrative compliance across the ITS Portfolio. Develops, recommends, and implements procedures that improve consistency, accountability, compliance, and readiness for evolving technology-enabled HR practices. Provides oversight for supervisor-facing HR processes, including timesheet approval expectations, onboarding practices, written instruction requirements, ADA-related communication considerations, and process follow-through. Partners with ITS Communications and Outreach to ensure HR guidelines, process updates, and policy communications are written in clear, accessible, and user-friendly language for ITS employees and supervisors. Identify administrative risks and recommend corrective actions or process standards.
HR Systems, Workflow Architecture, Automation, and AI Readiness - Leads functional design and process ownership for HR-related workflow systems, forms, applications, automation efforts, and responsible AI readiness across assigned administrative processes. Defines business requirements, routing logic, approval structures, data needs, reporting expectations, and internal controls for HR applications and process improvements. Recommends changes to reduce manual email volume, improve self-service access, eliminate duplication, strengthen documentation, and prepare HR processes for future operational needs. Partners with ITS technical, strategy, outreach, and administrative teams to translate HR process needs into sustainable tools, reports, training resources, dashboards, and workflow solutions.
Training, Intern Integration, Employee Feedback, and Organizational Effectiveness - Develops HR-related training, onboarding resources, guidance materials, professional development content, and experiential learning opportunities for ITS Portfolio employees, supervisors, administrative staff, and student interns. Integrates interns into meaningful HR and administrative projects that strengthen documentation, data quality, workflows, service delivery, and student professional development. Designs employee feedback tools, including HR satisfaction surveys, exit interview processes, focus groups, and related assessments. Partners with Culture & Engagement, central HR, ITS Communications and Outreach, and ITS leadership to translate feedback into actionable recommendations.
Supervision, Team Enablement, Partnerships, and Leadership Continuity - Supervises assigned HR and administrative staff, including staff responsible for executive support, leadership coordination, travel, events, administrative coverage, and office operations. Supports staff development, cross-training, service consistency, and coordination across administrative support roles, and provides direction for HR-related intern work aligned with ITS Portfolio priorities. Maintains key campus partnerships, collaborates with the Associate Director of Budget & Financial Services where HR and fiscal workflows intersect, serves on the ITS senior management team, represents ITS on University committees as assigned, and provides delegated leadership continuity for assigned administrative operations.
Qualifications Master's degree and four years of experience related to administrative services or a bachelor's degree and six years of related experience.
Preferred Qualifications - Experience with Florida State University policies and practices
- Experience with PeopleSoft/Oracle
- Knowledge of human resources best practices. Records of effective strategic, administrative, or operational management experience in an academic setting.

- Strong understanding of applicable federal and state employment laws and their practical application in an institutional setting

During the first 60-90 days, you should expect to spend significant time learning the ITS organization, building relationships with leaders and staff, understanding existing HR and administrative processes, and becoming familiar with university policies and procedures.
