JOB SUMMARY

The Associate Director of Admissions (SOM) manages end-to-end admissions operations for the medical school and leads the design, launch, and day-to-day administration of a new 7-year BS/MD pathway. This role partners with the Admissions Committee to ensure a timely, equitable, and data-informed selection process, oversees high-volume interview scheduling and interviewer engagement, and serves as primary operational lead for the BS/MD program. The Associate Director evaluates processes through surveys and analytics, documents standard operating procedures (SOPs), and drives continuous improvement in alignment with institutional policies and accreditation expectations.

PRIMARY JOB RESPONSIBILITIES
  • Admissions Operations Leadership: Leads MD and BS/MD admissions cycles, including assignment of applications to screeners using established rubrics; ensures receipt of interview reports; records and assigns decisions after subcommittee review; maintains real-time status updates
  • BS/MD Program Build & Operations: Designs, documents, and launches the BS/MD application; develops selection criteria and rubrics; leads application testing (UAT), defects tracking, and release; ensures data integrity and secures records handling; drafts templates for notifications and FAQs
  • Interview Management & Communications: Coordinates and schedules 700+ MD interviews annually and all BS/MD interviews; maintains interviewer rosters and calendars for faculty, students, and community partners; maintains recruitment communications for MD and BS/MD (web, videos, email, phone, listserv, letters, orientation packets)
  • Experiential Learning & Reflection: Creates and maintains service, research, and clinical shadowing programs; secures mentors/preceptors and site requirements; implements reflection submission and review processes with schedules, prompts, and evaluation criteria
  • Student Advising & Matriculant Success: Advises BS/MD matriculants on class schedules, prerequisites, and progression requirements; coordinates with undergraduate advising, registrar and SOM curriculum leaderships, coordinates onboarding of M1 students including background check review, admissions status tracking, and collaboration with orientation and scholarship teams
  • Assessment, Reporting & Continuous Improvement: Creates and analyzes surveys; tracks Admissions Committee productivity; generates feedback reports; develops dashboards and recurring reports monitoring funnel KPIs, diversity and equity indicators, interview yield, and program outcomes
  • Performs other duties as assigned


KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of admissions operations and academic program administration in higher education, preferably medical education
  • Understanding of FERPA and sound data stewardship practices; attention to accuracy and confidentiality
  • Strong analytical, organizational, and prioritization skills; demonstrated judgment and initiative in high-volume, deadline-driven environments
  • Proficiency with Microsoft 365 (Outlook, Excel, Word, PowerPoint, SharePoint/Teams); familiarity with survey tools (MS Forms/Qualtrics) and CRM/applicant systems (e.g., Slate, AMP)
  • Excellent communication skills including professional phone and email etiquette
  • Ability to tailor messages to applicants, families, faculty, and leadership
  • Ability to coordinate multiple priorities simultaneously and adapt to rapidly changing needs
  • Ability to evaluate information, perform analysis, and prepare clear written and oral recommendations for diverse stakeholders
  • Ability to develop and maintain effective working relationships across faculty, staff, students, and external partners
