Job Summary:Ohio Northern University invites applications for the position of Assistant Vice President (AVP) of Enrollment Operations and Slate Expert. Reporting directly to the Vice President for Enrollment, this high-level leadership role serves as a core member of the Enrollment Management (EM) leadership team, alongside the Associate VP of Enrollment/Director of Financial Aid, the Senior Director of Enrollment Communications, and the Director of Admissions. The AVP Enrollment Operations/Slate Expert provides strategic vision, technological leadership, and administrative oversight for all enrollment infrastructure, data integrity, and systems integration. Acting as the university's primary Slate CRM expert, this position manages the technological framework that drives recruitment, selection, and enrollment. The AVP directly supervises the Director of Admissions Operations and one Executive Admissions Assistant, who manage the day-to-day admissions and application processing within Slate and oversee the data exchange with Banner. Additionally, this role will play a critical, hands-on leadership role in the university's upcoming institutional upgrade: Ohio Northern University will be transitioning its Student Information System (SIS) to Workday in the very near future. The AVP will spearhead the enrollment operations strategy to ensure a seamless data transition from Slate to Workday, safeguarding data governance and operational continuity.
Job Description:
Strategic Enrollment Leadership & Collaboration
- Serve as a key member of the Enrollment Management leadership team, participating in enrollment leadership meetings and strategic planning discussions to shape the university's recruitment and enrollment strategies.
- Foster a culture focused on collaboration, innovation, operational excellence, and continuous improvement across the division.
- Collaborate effectively with stakeholders across Enrollment Management, Marketing, Financial Aid, Institutional Research, and Information Technologies, Academics, Athletics, etc..
- Provide strategic analysis of enrollment management data and lead continuous improvements in Slate business processes to support undergraduate, graduate, and professional enrollment teams.
- Work closely with the Vice President for Enrollment Management to prioritize and provide all key enrollment-related reports, dashboards, queries, portals, etc. to optimize use of the CRM and improve efficiencies
Slate CRM Expert Administration & Innovation
- Serve as the lead professional on technology matters, including processing, reporting, data extraction, and system configuration within Technolutions Slate.
- Build, maintain, and enhance the Slate environment-including forms, fields, workflows, queries, rules, populations, permissions, realms, reader configurations, and portals-to optimize outreach and streamline business processes.
- Stay current with new Slate features, enhancements, and industry best practices; explore creative ideas to implement and improve the Slate environment.
- Manage the annual cycle prep steps for each part of the admissions and recruitment cycle.
- Work with territory managers to identify ways in which Slate can be better utilized to refine current recruitment strategies and travel.
- Collaborate with the application review coordinator to identify application loads for staff, manage Reader Assignments in Slate, keep abreast of reading progress, and reallocate as necessary.
System Transition, Integration & Data Integrity
- Lead the upcoming strategic transition from the current Banner SIS infrastructure to Workday over the next two years, serving as the primary enrollment architect for a seamless data transition between Slate and Workday.
- Oversee data uploads, data exchanges, and integrations from vendors and external partners (such as the Common Application), ensuring data accuracy, completeness, and consistency.
- Partner closely with Information Technology and Enrollment Systems to maintain rigid data integrity standards across the Slate CRM and the SIS.
- Collaborate with Institutional Research and campus partners to align reporting standards, data governance practices, and census reporting.
- Perform regular audits for data integrity; troubleshoot system issues, identify root causes, and facilitate communication with staff and stakeholders.
- Serve as the ultimate back-up for all integration, data upload, decision confirmation, and release processes.
Enrollment Reporting & Analytics
- Generate and refine enrollment reports and dashboards tracking key performance indicators across the admissions funnel to support data-informed decision-making.
- Analyze recruitment, application, admission, and enrollment trends to provide actionable insights, predictive modeling, and strategic recommendations to university leadership, cabinet members, and the Board of Trustees.
- Assist with enrollment communication initiatives by providing audience segmentation, list management, and campaign reporting.
External Vendor Management & Pipeline Alignment
- Oversee the secure ingestion and deployment of external data lists into Slate, tracking source effectiveness to evaluate lead-to-application conversion rates and maximize vendor ROI.
- Maintain close, transparent communication with the Vice President for Enrollment Management regarding vendor performance, lead volume metrics, and contract management.
- Ensure all vendor integrations and data acquisitions explicitly align with the university's Strategic Enrollment Plan (SEP), targeting key geographic markets, academic profiles, and diversity initiatives to meet institutional enrollment goals.
Team Supervision & Professional Development
- Supervise, mentor, and evaluate the Director of Admissions Operations and one Executive Admissions Assistant, providing work prioritization, performance management, and professional growth opportunities.
- Provide day-to-day troubleshooting, training, and mentoring for all Slate users across campus, supporting the professional development and skill growth of the enrollment team.
- Maintain comprehensive, current Slate documentation and establish new documentation for all evolving business processes.
- Participate in professional development opportunities, including virtual and in-person Slate community events and conferences.
- Develop, facilitate, and expand comprehensive training opportunities for the enrollment team regarding Slate features, ensuring staff across the division are proficient, empowered, and utilizing the CRM to its highest capacity.
Qualifications:Minimum Qualifications
- Bachelor's degree in Data Science, Information Technology, Analytics, Business Intelligence, Higher Education, or a related field.
- Minimum of 5-7 years of professional experience in higher education enrollment management, admissions operations, or enrollment analytics.
- 3-5 years of demonstrated experience as a key member/administrator of a Technolutions Slate team, with deep competency in configuration, workflows, and queries.
- Demonstrated experience supervising, mentoring, or leading professional staff and managing complex projects.
- Experience utilizing computer databases for admissions and a strong understanding of data exchange protocols. Competency in Microsoft Office (Word, Excel, Access) and Google Suite.
- Strong written, verbal, and interpersonal communication skills, with the ability to present complex technical and analytical information clearly to diverse audiences.
- Demonstrates good judgment, discretion, and a commitment to building an inclusive environment and effective partnerships across the university.
Preferred Qualifications
- Master's degree in a related field.
- Advanced experience writing and optimizing queries, building predictive models, and managing complex integrations. Strong familiarity with Banner SIS and/or experience executing a data transition to Workday is highly preferred.
- Experience with specialized enrollment technologies, document imaging, and external application platforms (e.g., Common Application).
- Advanced analytical and critical thinking skills with a proven track record of converting complex datasets into actionable institutional strategies.
