Full Job Description
Assistant Athletics Director - Operations and Logistics Menlo School is seeking an experienced professional to serve as Assistant Athletics Director - Operations and Logistics. Reporting to the Director of Athletics, the successful candidate will have strong operational management experience in athletics, the ability to coordinate multiple moving parts in a fast-paced environment, and exceptional communication and relationship-building skills. This position plays a critical role in ensuring that Menlo's athletic programs run smoothly and successfully, from scheduling to game-day operations. This is a full-time, in-person role that requires some evening and weekend attendance at various athletic competitions and school events throughout the year. Responsibilities include but are not limited to: • Overseeing and coordinating the operational logistics of the athletics program, ensuring smooth day-to-day execution of team schedules, transportation, facilities coordination, game management, travel planning, and athletics information systems. • Coordinating team schedules with coaches and ensuring accurate updates. • Overseeing home game day operations, including staffing and coordination with Facilities for set-up. • Supervising various athletic contests to ensure smooth execution and positive game-day experiences. • Coordinating transportation for all teams and managing logistics for overnight team travel, including budgeting. • Maintaining and updating the athletic website database, including team rosters and schedules. • Securing officials for home contests and managing related communications. • Confirming athlete eligibility after each grading period and compute CCS Team GPAs. • Completing paperwork for tournament sanctioning with CCS. • Ordering end-of-season awards and print participation certificates. • Collaborating with the Athletic Director on the athletic key dates calendar. • Supporting coaches and team parents in organizing year-end banquets. • Producing the weekly game schedule, including dismissal and departure times for faculty and staff. • Coordinating Upper and Middle School schedules with Menlo College. • Assisting the Athletic Director with planning monthly coaches' meetings and annual coaches' socials. Minimum Requirements: • Bachelor's degree and a minimum of five years of experience as a Director of Operations or in a similar athletics operations role. • Strong verbal and written communication skills. • Ability to effectively manage challenging conversations with coaches, parents, student-athletes, and staff. • Exceptional organizational skills, attention to detail, follow-through, and the ability to meet deadlines. • Ability to work in a fast-paced, busy environment with shifting priorities. • Genuine enthusiasm for working with student-athletes and a deep commitment to fostering a joyful, values-based athletics environment that prioritizes character, participation, and growth. • Availability for some night and weekend work. • Ability to properly manage confidential information. • Strong decision-making skills and a proactive, self-starting approach. • Experience with Google Workspace, scheduling and project management platforms, Team Snap, and website CMS management platforms. Pay range: In the spirit of pay transparency, we share the base salary range for this position for the [redacted] academic year. The full pay range, which encompasses all experience levels, is $100,000 - $140,000. Within this broad range, we pay in accordance with what is reasonably expected given an individual's experience level. Base salary is exclusive of fringe benefits, employer contributions to retirement plans, and potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role, but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status, and the number of months worked per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please note that the generous range mentioned above is the full base salary range for the role.
