AI Workflow Specialist, will be a member of the Digital Transformation team at Core States and report to the Director of that group. The AI Workflow Specialist, will be responsible for identifying, building, and supporting AI-enabled workflows across the firm's Shared Services functions, including Finance & Accounting, Human Resources, Marketing, Legal, and Administration. They will be expected to work directly with Shared Services staff to understand their processes, deliver practical AI workflows using the firm's approved platforms, train and support users on those workflows, and surface larger opportunities to the Digital Transformation team for enterprise development.
Responsibilities- Partner with Shared Services teams to map existing processes and identify high-value opportunities for AI-enabled improvement
- Design, build, and deploy AI workflows using approved platforms, including ChatGPT Enterprise (custom GPTs, agents, structured prompt workflows) and the Microsoft Power Platform
- Train and support Shared Services staff in adopting AI workflows, including documentation, office hours, and hands-on coaching
- Maintain and iterate on deployed workflows based on user feedback, usage data, and measured results
- Plan, schedule, and manage a portfolio of concurrent workflow projects, maintaining clear priorities, timelines, and status communication with department stakeholders
- Ensure workflows handle sensitive corporate data (financial, personnel, legal) in accordance with firm governance and data-handling policies
- Participate in the Digital Transformation team's weekly rhythm of goals, status, and results
- Escalate opportunities with enterprise-wide impact into the Lane 2 project pipeline with clear documentation of the business case
- Support firm-wide AI enablement efforts, including workflow examples, adoption spotlights, and the AI Hackathon
- Track and report adoption and time-savings metrics for Shared Services AI initiatives
- Other duties as assigned

- Bachelors degree in Computer Science, Digital Technologies, Business, or relevant field
- 5+ years working in or directly supporting corporate business functions (finance/accounting, HR, marketing, legal, or operations)
- Demonstrated hands-on experience building AI-enabled workflows, automations, custom GPTs/agents, or low-code solutions like PowerAutomate that others actively use - portfolio of real examples expected
- Experience training or supporting non-technical users on new tools or processes
- Experience in a professional services or project-based business environment preferre
- Advanced proficiency with ChatGPT or comparable AI platforms, including custom GPT/agent creation and structured prompt design
- Working knowledge of the Microsoft 365 ecosystem, including Power Automate, SharePoint, and Excel
- Ability to work with structured business data (exports, reports, spreadsheets) and connect workflows across systems
- Familiarity with ERP or back-office platforms such as Deltek Vantagepoint preferred
- Basic scripting ability (Python or similar) preferred
- Understanding of data privacy and security considerations when working with confidential corporate information
Work LocationThis is a hybrid role that can sit out of the following offices; Duluth, GA; King of Prussia or Philadelphia, PA. Please expect to travel 10%+ of the time or as needed.
