NATURE OF WORK
Reporting to the Coordinator of Employment Relations, the Administrative Officer - Employment Relations provides technical and administrative support for the Cree School Board's employment relations activities, questions and processes.
The incumbent coordinates recordkeeping, administrative follow-up, document preparation and other tasks required to support the application of collective agreements, by-laws and related policies.

CHARACTERISTIC FUNCTIONS
  • Responds to routine inquiries from employees and managers on employment relations matters, provides available administrative information, and refers matters requiring interpretation or specialized expertise to the appropriate resource.
  • Supports the preparation of grievance, arbitration, disciplinary, complaint and investigation files by gathering, organizing, verifying and maintaining required documentation while ensuring confidentiality.
  • Prepares correspondence, notices, forms, tables, reports, presentations and other documents based on approved instructions and templates, and ensures their distribution, filing and archiving.
  • Coordinates logistics and administrative support for meetings, hearings, consultations, information sessions and other employment relations activities, including schedules, invitations, rooms, travel arrangements, documents, materials, notes, minutes and follow-up on action items.
  • Supports the updating, communication and use of collective agreements, policies, by-laws, procedures, tools and reference documents related to employment relations.
  • Compiles and updates statistics, indicators and administrative data, supports tracking tools, and contributes to periodic reports and administrative follow-up, as required.
  • Contributes to the improvement of administrative procedures, systems, forms and tools to support an integrated service aligned with other Human Resources sectors.
  • Maintains effective communication and working relationships with employees, managers, union representatives, Human Resources team members and external stakeholders.
  • Performs any other related duties assigned by the supervisor.

REQUIRED QUALIFICATIONS
  • Hold a college diploma in administration, human resources, industrial relations or another relevant field.
  • Have at least three (3) years of relevant administrative support experience, ideally in a human resources or employment relations environment.
  • Have experience maintaining confidential records, completing administrative follow-up, using databases or preparing reports.
  • Knowledge of collective agreements and grievance, disciplinary or arbitration processes is an asset.
  • Demonstrate excellent organizational skills, the ability to manage multiple priorities and deadlines, and close attention to detail.
  • Demonstrate sound judgment, tact and discretion when handling sensitive and confidential information.
  • Be comfortable working in a computerized environment and work effectively as part of a team.
  • Be proficient with Microsoft Office applications, including Word, Excel, Outlook and Teams.
  • Be willing to travel occasionally.

EMPLOYMENT CONDITIONS*
Regular full-time position (35 hrs/week).
*Given the current salary regulations and guidelines at the Cree School Board, candidates from another Quebec School Board will be able to obtain a salary as per the scale above-mentioned. However, candidates that are not from the education sector are not eligible to a salary above the midpoint of the position's salary scale.
