Full Job Description
UT MD Anderson seeks an Administrative Manager to support the Administrative Services unit within the University of Texas Police at Houston (UTP-H). The Administrative Manager provides leadership and coordination of human resources administration, fiscal activities, and special projects, ensuring alignment with divisional goals and institutional standards. The Administrative Manager plays a key role in overseeing administrative operations and driving structured coordination of initiatives across the division.

The ideal candidate is a proactive, detail-oriented administrative professional with experience supporting director-level or higher leaders. Must be confident in decision-making, skilled at managing competing projects, and able to work independently with minimal direction. With high proficiency in Microsoft Office Suite, they excel in calendar and travel management, tracking initiatives, and sharing technical knowledge with direct reports.

Responsibilities

Coordination of Human Resources Administration
• Coordinate and oversee administrative HR functions ensuring compliance with policies and regulations
• Serve as liaison between management, administrative staff, and Institutional HR partners
• Oversee implementation of divisional strategic initiatives through structured coordination and data synthesis
• Monitor and track initiatives to ensure alignment with goals and deliverables
• Analyze and interpret data to support administrative decision-making
• Ensure operational continuity through strategic planning and innovative problem-solving

Administrative Leadership
• Plan, organize, and direct administrative functions for effective service delivery
• Oversee implementation of policies, procedures, and workforce initiatives
• Build and maintain productive relationships with leadership, staff, and stakeholders
• Allocate resources effectively to meet departmental goals
• Promote accountability, continuous improvement, and customer-focused service
• Ensure compliance with regulations and organizational standards
• Identify and implement process improvement opportunities
• Provide leadership and direction to administrative personnel
• Oversee daily operations and long-term administrative initiatives

Operational Support & Project Coordination
• Utilize software tools including Outlook, Word, Excel, PowerPoint, and data visualization platforms
• Support divisional projects, initiatives, and operational goals
• Demonstrate strong organizational and decision-making skills while managing competing priorities
• Collaborate with management to streamline workflows and improve efficiency
• Evaluate administrative processes and recommend improvements
• Oversee implementation of approved process enhancements
• Support strategic initiatives related to HR administration, FMLA/ADA case tracking, and financial performance
• Provide subject matter expertise in administrative operations and office management
• Assist with special projects and cross-functional initiatives

Other Duties as Assigned
• Support emergency recall efforts and remain onsite or work extended hours during emergencies or unusual circumstances
• Travel locally or long-distance as required for training or business purposes
• Perform additional duties as assigned.

EDUCATION:
Required: Bachelor's Degree
Preferred: Master's Degree

EXPERIENCE:
Required: Four years related experience in a professional/administrative capacity, to include two years of supervisory, project management or lead experience. May substitute required education with additional years of equivalent experience on a one to one basis.
Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

Preferred: Administrative professional with experience supporting director-level or higher leaders. managing competing projects, calendar and travel management experience.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
