  • 40 hours/week, 2 Month Assignment (With possibility of extension)

A leading university is seeking an Administrative Associate to provide high-level administrative support to faculty members and research labs. This role is responsible for coordinating complex administrative operations, financial activities, scheduling, travel, events, and communications while ensuring accuracy, organization, and exceptional customer service in a fast-paced academic environment.

Administrative Associate Responsibilities:
  • Provide comprehensive administrative support by managing calendars, scheduling meetings, coordinating travel, preparing correspondence and reports, maintaining documentation, and acting on behalf of leadership to resolve administrative matters.
  • Coordinate conferences, seminars, meetings, and special events by managing logistics, vendor communications, materials, budgets, and event execution.
  • Process financial transactions, purchasing, reimbursements, expense reports, budget reconciliations, funding support, and account monitoring while researching and resolving discrepancies.
  • Create and maintain reports, spreadsheets, websites, and departmental documents; support office operations, facility coordination, and administrative projects while ensuring accuracy and compliance.
  • Collaborate with faculty, staff, students, and researchers, provide exceptional customer service, assist with training or coordinating temporary staff, and support departmental initiatives as assigned.

Administrative Associate Qualifications:
  • 4 years of administrative experience.
  • A bachelor's degree and administrative experience are preferred.
  • Advanced proficiency with Microsoft Office Suite, Google Workspace, and office software.
  • Experience with university systems is preferred.
  • Experience with financial transactions, purchasing, expense reporting, and budget reconciliation.

Shift:
  • 8:00 am to 5:00 pm with some flexibility.
