Standard Job Description

Performs a variety of secretarial and administrative duties for assigned supervisor/manager or senior staff member. Performs normal office functions such as setting up and maintaining alphabetical, numerical and/or subject files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. May take and transcribe dictation; uses personal computers and standard desktop software to compose reports, correspondence, and memorandums; reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. May provide guidance and direction, as needed, to lower-level secretaries and other clerical employees.

You will be the Administrative Assistant Specialist, responsible for providing administrative assistant support to the Vice President of Human Resources for Missiles and Fire Control as well as multiple HR Directors.

What You Will Be Doing

As the Administrative Assistant Specialist, you will utilize a self-directed work style to complete tasks with minimal supervision, as well as creatively solve problems, think independently, and present a professional image. Absolute discretion with sensitive materials is also a primary responsibility.

In this role, you will utilize a range of HR systems and tools to provide administrative support for various HR processes. This includes:

  • Locating, integrating and consolidating sensitive information from multiple sources
  • Ensuring accuracy of data
  • Filing electronic documents efficiently
  • Preparing chart decks, reporting, and analyzing data to identify trends for focused attention


You will be responsible for preparing correspondence, meeting/calendar scheduling and management, travel planning/expense reporting, phone coverage, ordering supplies, etc. Additionally, you will be responsible for planning and executing executive off-sites which may require up to 20% travel. In this role, you will interface with corporate executive administrative assistants on a frequent basis. You must possess the ability to interact with all levels of management as well as external customers.

Basic Qualifications

  • 5+ years of recent and demonstrated extensive experience providing administrative assistant support to executive-level clients
  • Intermediate to advanced level proficiency with Microsoft Office 2013 suite of applications (Excel, Word and PowerPoint)

Pay Information

Full-Time Salary Range: $72400.00 - $134400.00

  • Annual short-term and/or long-term incentive compensation programs may be offered depending on the position. Payments under these annual programs are not guaranteed and can vary from year to year and are tied to a range of performance metrics.
  • For (Washington state applicants only) Non-represented full-time employees: accrue at least 10 hours per month of Paid Time Off (PTO) to be used for incidental absences and other reasons; receive at least 90 hours for holidays. Represented full time employees accrue 6.67 hours of Vacation per month; accrue up to 52 hours of sick leave annually; receive at least 96 hours for holidays. PTO, Vacation, sick leave, and holiday hours are prorated based on start date during the calendar year.
