Northrop Grumman's Mission Systems Sector is currently seeking an Administrative Assistant 4 to support our Rolling Meadows, IL location to

perform normal office functions such as setting up and maintaining files; managing executive's calendars; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation.

Key Responsibilities:
  • Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts.
  • Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions.
  • Make domestic and international travel arrangements and process expense reports in a timely manner for assigned staff.
  • Attend staff meetings, publish agendas and follow-up on action items.
  • Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering.
  • Respond to a wide variety of employee requests, provide direct support and/or resource referrals as appropriate.
  • Manage and/or support special projects as assigned
  • Provide back-up support for other administrative staff as needed.
  • Greet employees and visitors in a courteous and friendly manner.
  • Check visitor identification, issue visitor badges, and record visitors' arrival and departures times.
  • Receive, sort, and deliver incoming mail; facilitate outgoing mailings and the shipping of business items.
  • Provide inventory oversight and ordering/purchasing support for office supplies.


Basic Qualifications:
  • High School diploma or equivalent and 6 years additional education and/or related experience.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, and Excel) to maintain calendars, coordinate meetings and compose briefings, reports, correspondence, and memorandum.
  • Mastery of digital collaboration tools (Zoom, Teams, etc.) and knowledge of protocols for virtual or hybrid gatherings, understanding features (chat, screenshare, breakout rooms), ability to troubleshoot and solve minor issues in real time.
  • Experience in planning and providing logistical support for meetings and events, including making catering arrangements.
  • US Citizenship.


Preferred Qualifications:
  • Government/Military/Aerospace and Defense industry experience.
  • Experience supporting multiple members of senior level management.
  • Previous support of geographically dispersed teams.
  • Experience in reviewing and editing written material for correct spelling and grammar.
  • Knowledge of NGC resources, policies, and procedures.
  • Advanced experience with Concur (or similar) travel and expense reporting system.
  • SharePoint (or equivalent), and intranet/internet proficiency.
  • Ability to obtain/maintain Secret and SAP security clearance.


Primary Level Salary Range: $63,500.00 - $105,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
