OverviewJoin FWI as an Administrative Analyst and put your SECRET clearance and administrative expertise to work. This is a front-row seat with up to five years of contract stability, real ownership over how the office runs, and work that actually matters.
You'll support the Office of Local Defense Community Cooperation (OLDCC) across a broad range of functions - from personnel action processing and leadership calendar management to travel coordination, supply management, and recurring leadership reporting - that keep OLDCC's day-to-day office operations running smoothly. This is a client-facing role requiring strong organization, discretion, and the ability to manage multiple concurrent priorities in a fast-paced federal office environment.
Work Schedule and Location:
On-Site: This full-time on-site position will work Monday through Friday, 0800-1700 at the OLDCC Headquarters (2231 Crystal Drive, VA)
Responsibilities
- Personnel Action Support: Serve as primary processor for routine HR/personnel actions (estimated 5-10 per month). Prepare New Hire Welcome Packages and schedule in-processing appointments within a new employee's first week. Track departing-employee out-processing checklists. Draft and route Request for Personnel Action (RPA) forms for first-level review within 3 business days of a complete request.
- Meeting & Calendar Management: Maintain calendars for government leadership and provide scheduling support for an estimated 10-15 internal meetings per week. Attend designated meetings to take minutes and track action items, distributing draft minutes within 2 business days.
- Meeting Logistics: Coordinate conference room scheduling, calendar invitations, A/V support, and prepare/distribute agendas and read-ahead materials at least 24 hours before meetings.
- Travel Support: Prepare and process travel arrangements in the Defense Travel System (DTS), including authorizations and vouchers, for an estimated 2 trips per year. Create authorizations within 2 business days of a completed request and submit vouchers within 3 business days of receiving complete documentation.
- Supply & Inventory Management: Maintain office supply inventory, prepare purchase request forms, attend the annual government inventory session, and help maintain the Non-IT Equipment tracker.
- Organizational Operational Review (OOR) Support: Coordinate updated slides with presenters, consolidate the biweekly OOR slide deck, distribute it to staff in advance, and present during the meeting.
- DD577 Form Tracking: Maintain a tracking mechanism for Appointment and Termination Records (DD577) and provide a semi-annual status report to the Office Manager.
- SOP & Documentation Support: Assist in documenting and reviewing standard operating procedures and system guides related to HR records and processes, routing them through Office Manager and COR review.
- Ad-Hoc Reporting: Provide ad-hoc data extraction, compilation, and formatting support as requested by the COR (capped at 80 labor hours per contract year).
- Process Improvement: Follow established agency SOPs and recommend improvements to office efficiency and effectiveness to the COR and Office Manager.
- Cross-Training & Continuity: Serve as the primary backup for the Front Office Administrative and Correspondence Management Analyst positions, and as virtual backup for the WRO Administrative Analyst in Sacramento, CA, ensuring continuity of operations during absences.
Qualifications
Required:
- Active SECRET security clearance at time of hire, or ability to obtain one prior to start (mandatory - no exceptions).
- Demonstrated experience in an administrative, HR-support, or executive-support role, ideally within a federal or DoD office environment.
- Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills, including experience taking meeting minutes and preparing status reports.
- Proven ability to manage multiple concurrent tasks, track deadlines, and prioritize effectively in a fast-paced environment.
- Discretion in handling sensitive personnel and administrative information.
Desired:
- Prior experience with the Defense Travel System (DTS) or a similar government travel system.
- Familiarity with federal personnel action processes (e.g., RPA forms) or DD577 recordkeeping.
- Prior experience supporting a DoD or other federal agency office in an administrative capacity.
