Job Summary

Job Summary:

We are seeking a highly organized, proactive Executive Assistant to provide best-in-class support to a senior executive and help drive efficiency and effectiveness in a fast-paced environment. This role serves as a trusted
partner, managing priorities, anticipating needs, and ensuring day-to-day operations run seamlessly. This position is based at Levy's Corporate Headquarters in Chicago, IL.

Major Areas of Responsibility:
• Schedule Management
• Day-to-day management of the calendars for the executives, including meeting scheduling and liaison with other administrative assistants
• Liaising with clients at a high-level on behalf of the Executive
• Ensures that meetings, presentations, and other duties are carried out seamlessly
• Books business travel to ensure that specific travel requirements and low fares are accommodated
• Manages travel schedule to proactively handle travel disruptions and any travel changes needed, this may include being available evenings and/or weekends

Office Management:
• Answers incoming calls using proper etiquette and thorough documentation and prompt distribution of messages
• Provides professional clerical support including filing, copying, and scanning of documents
• Processes invoices, expense reports and purchasing card statements on a timely basis
• Manages supplies and ordering for new business meetings
• Organizes appropriate location, set-up, and communication for meetings, including board meetings, meetings, off-site meetings, and client meetings.
• Facilitate organizing notes, gifts, cards, and awards when needed

Overall Management:
• Promotes a cooperative work climate, maximizing productivity and morale.
• Fosters strong relationships with operations by making accessibility and responsiveness a priority.

Job Requirements:
• Excellent and professional writing and verbal skills
• Experience working at Executive Assistant level with senior management and senior level clients
• Knowledge of MS office applications, including Word, experienced in Excel, and Outlook
• Ability to manage complex and highly confidential information
• Ability to work autonomously and across multiple tasks and reporting into different project teams
• Ability to build a Power-Point presentation, with design and creativity skills
• Must be adept at problem-solving
• Must be able to prioritize and plan work activities as to use time efficiently
• Must be organized, accurate, thorough, and able to monitor work for quality
• High degree of personal organization and self-management
