POSITION DEFINITION

The Accounting Manager leads ASI's accounting function and ensures financial activity is recorded, reconciled, and reported with accuracy and consistency. This role owns the systems and workflows that support financial reporting, account reconciliation, budget management, and the responsible stewardship of organizational resources. It supervises accounting staff, sets expectations for performance and development, and exercises judgment when financial issues affect multiple departments or carry broader organizational risk. The position translates financial requirements into dependable processes, helping teams move from transactions and records to clear, usable information. It also safeguards sensitive financial and personnel data, coordinates with university and organizational partners, and addresses process gaps before they create reporting delays or credibility concerns. Staff experience this leadership through clear standards, coaching, and reliable follow-through, while organizational leaders rely on timely financial information to make informed decisions. This role strengthens ASI's financial health by making accounting work accurate, understandable, and sustainable across the organization.

ESSENTIAL DUTIES

General Accounting Management and Financial Reporting
  • Oversee general accounting functions, including but not limited to bookkeeping,review andpostings of general ledger transactions, inter-fund transfers and paybacks, subsidiary ledger posting and reconciliation to the general ledger, and chart of accounts maintenance.
  • Responsible for the proper accounting and financial reporting of all funds and ledgers.
  • Responsible for thetimelymonthly and year-end closing processes, including financial reviews and account analysis.
  • Responsible forproperpayrollentry into the general ledger andthe oversight ofreconciliation.
  • Ensure expenditurescomply withASI, CSU,and State policy and procedures.
  • Ensuretimelyandaccuratesubmission of ASI data reports to campus, state, and federal governments.
  • Ensure financial transactions conform to ASI, CSU,and State regulations andmakenecessary corrections.
  • Overseecash analysis,cash flow planning,and ensure availability of fundsinbankaccount,as needed.
  • Oversee fixed assets, including inventory of fixed assets and depreciation and amortization of fixed assets, and reconciliation offixedasset subsidiary ledger to the general ledger.
  • Provide reports, including but not limited to, income statements, balance sheet, P&L, etc.,for stakeholders (BOD, ASI Leadership, budget managers, University, etc.) with information onthecurrent state of finances as well as needed projections
  • Perform regular account analysis and financial projections to ensure accuracy in account balance, transaction recording, and financial reporting.
  • Lead the coordination and preparation of internal and external audits, including preparation of audit schedules, supporting documentation,reconciliationworkpapers, and responses to auditor requests.
  • Monitor implementation of audit recommendations andassistin the development of corrective action plans related to accountingprocessesand internal controls.
  • Oversee and review tax reporting and compliance activities, including but not limited to 1099's, sales and use tax filings, annual information reporting, unclaimed property reporting, and other applicable regulatory filings.
  • Research and interpret tax reporting requirements and ensure compliance with federal, state, CSU, and organizational regulations.
  • Responsible for the development, analysis,implementation,enforcement,and documentation of policies and proceduresimpactingthe General Accountingunit.
  • Recommend and implement improvements asthey relateto the General Accounting,Accounts Payable, and Accounts Receivableunits.
  • Provide guidance on andconductresearch to ensure compliance with all policies and applicable regulations.
  • Understand, implement, and interpret policies and regulations to students, faculty, staff, external agencies, and the public.
  • Prepare,disseminate, and ensuretraining of new policies and procedures within the unitandthe ASI community.

Supervisory Responsibilities
  • Responsible for recruitment, supervision, training, development, performance management, and guidance as needed to unit personnel, setting goals, preparing evaluations of their performance, and cross-training to effectively work towards a cohesive, collaborative, and synergistic team.
  • Ensure assigned operations in these units are carried outin accordance withestablished policies and procedures based on organizational goals andgenerally acceptedaccounting standards.
  • Serve as a technical accounting resource and mentor for department staff by providing guidance on accounting standards, internal controls, financial reporting, and compliance requirements.
  • Manage the team to ensure that work is properlyallocatedand completed ina timelyandaccuratemanner and guide overall units' priorities.
  • Provide leadership and direct supervision to the(1) PT Accounting Supervisor, (1) PT Lead Accounting Assistant,and (3) PTAccounting Assistants.

MINIMUM QUALIFICATIONS
  • Bachelor's degreefrom an accredited college or universityinAccounting,Financeora closelyrelated field
  • Minimum4-7 yearsofprogressively responsible accountingexperience, includingreconciliations,financialand regulatoryreporting,andtraining.
  • Minimum 4-7yearsleadingothers; 2-4 years ofprogressivesupervision
  • At least2-4 yearsoverseeingthe worktasksof others.
  • Experience within a university or nonprofit environmentpreferred.
  • Certified Public Accounting (CPA) designation or progress towards CPA licensure,preferred.

KNOWLEDGE, SKILLS AND ABILITIES
  • Workingknowledge of auxiliary accounting methods and related rules, regulations, and procedures.
  • Considerableknowledge ofgenerally acceptedaccounting principles and practices and proven ability toestablishproper internal controls and procedures.
  • Considerable knowledge of accounting theories,statistical and research methods, and fiscalreporting.
  • Considerable knowledge ofaudit and taxrequirements andpreparation.

  • General knowledge of the principles of personnel management and supervision and ability to effectivelyutilizemanagement skills.
