Position Summary:

The Sr. Administrative Partner provides high level administrative support to the VP of Enterprise FP&A/Treasury and VP of Clinical Genomics Finance.  This individual will liaise with finance team members and other Executives, as well as with investors, bankers, auditors, customers and vendors.
 
The Admin Partner will organize and assist with important projects and deliverables. As well, the incumbent will be a “right hand” partner to the two VP’s, communicating and collaborating to recommend solutions that improve efficiency and effectiveness of the organization. Responsibilities:

  • Provide diverse and advanced administrative duties and provide support to the department as required
  • Organize and assist with highly important projects, schedules and deliverables
  • Act as liaison with external stakeholders such as investors, bankers, auditors, customers, vendors
  • Interact closely with key leaders in Finance and across the company
  • Handle details of a highly confidential and critical nature and make high level contacts of a sensitive nature inside and outside the company
  • Exercise discretion and judgment regarding highly confidential internal and external communications, applying best practices and policies
  • Coordinate, create, edit and assemble slides for presentation and provide assistance with graphs, tables and charts as necessary
  • Gather, assemble and analyze information from a variety of sources to prepare reports, manuals, agendas correspondence and memoranda using appropriate software
  • Schedule and coordinate various meetings as needed
  • Make administrative decisions, handle correspondence, maintain files, make appointments and serve as a liaison with the public; internally and externally, as required
  • Collect and prepare information for use in discussions and meetings of executive staff and outside individuals as well as department team
  • Arrange department and group meetings ensuring all necessary information is available for discussion
  • Coordinate domestic and international travel arrangements
  • Maintain sensitive records and files
  • Provide mail services, order and other general office support services
  • Collaborate with other Executive Assistants to support execs effectively and streamline processes
  • Perform all other related job duties as assigned or requested

Requirements:

  • 5+ years of administrative experience, and at least 3 supporting an executive at a public company, preferably a Finance Executive
  • Experience with calendar management, meeting and event planning, preparation of presentations, conference registration and expense report administration
  • Must have a high level of proficiency in Outlook, Word, Excel and PowerPoint
  • Experience with interfacing with investors and investment bankers, customers, vendors, visitors, and other dignitaries
  • Requires in-depth knowledge of corporate operations, policies and procedures

Education:

  • Bachelor’s degree
