The ideal candidate will have experience in the AEC industry. The position works closely with the Northeast Marketing Manager, New York City Deputy Area Manager, and the New York City Area Manager. He/She will participate in the development and successful implementation of the marketing program and tactical action plans. In addition, the Senior Marketing Coordinator is an active participant in local marketing activities whose main responsibilities will be to manage proposals and support interview preparation.

Typical Senior Marketing Coordinator responsibilities include:

  • Developing exceptional proposals / responses to solicitations that highlight and emphasize the differentiators associated with our approach and strategy for specific opportunities
  • Working with the pursuit team to develop original content for inclusion in the proposal including: cover letters, executive summaries and graphics development
  • Facilitating and leading proposal kick-off meetings to discuss schedule, differentiators, key staff, needs and goals, etc.
  • Facilitating and leading proposal review meetings. Collating proposal, coordinating/incorporating comments/submissions from reviewers, legal, and compliance to finalize proposal submission
  • Facilitating and leading proposal production and delivery
  • Leading presentation development and coaching
  • Supporting pre-positioning activities, including capture planning, strategy development, SWOT analysis, competitor analysis. Participating in teaming discussions and client mapping as a key member of a team that includes a pursuit/project manager, area management, technical staff, other team members, and in some cases, senior management
  • Updating the marketing information database to input new opportunities, create marketing budgets, update the status of current proposals, insert future opportunity updates, and enter in client team information
  • Facilitating client team meetings that analyze client behavior, activities, current and future needs and goals. Participating in client mapping and tracking. Checking client websites and track status of future opportunities
  • Developing brochures and leave-behinds for client meetings/presentations

Job Requirements

Education Required:


  • Bachelor's degree in Marketing, English, Journalism, Planning, Architecture, Liberal Arts, or a related field. An equivalent combination of relevant education and experience is also acceptable


Experience/Skills Required:


  • A combination of education and experience demonstrating the equivalent of at least 7+ years of experience in marketing in the A/E, professional services, or related industry
  • Excellent interpersonal and communication skills, with emphasis on persuasive writing/editing and presentation development ability
  • Proven success as proposal/project manager – experience overseeing, coordinating, and performing all aspects of production, including strategy and messaging, graphics, technical teams, and production
  • Ability to produce high quality materials under deadline pressure
  • Proficiency in Adobe Creative Suite (high proficiency in InDesign) and Microsoft Outlook, Word, PowerPoint and Excel
  • Strong writing, editing and computer skills (Microsoft Office Suite, InDesign)
  • Ability to work independently and as part of a team
  • Willingness to travel within the Northeast (minimal)
