Summary of Major Responsibilities

The Senior Manager, Facilities Maintenance will be responsible for approximately 1,000,000 square feet of office, CAP/CLIA clinical laboratories, FDA regulated QC, product support and manufacturing laboratories, instrument assembly spaces, research and development laboratories and warehouse spaces. Additionally, this position will author SOPs and participate in investigations, CAPAs change controls and participate in FDA audits. This role will provide leadership, organization, coordination and oversight of the maintenance operations for Exact Sciences including the development, supervision and evaluation of the assigned maintenance trades personnel. This includes, but is not limited to, general maintenance, interns and mechanical, electrical, plumbing, (MEP) and ensuring the efficient operation of the Exact Sciences physical facilities.

Essential Duties and Responsibilities

  • Lead maintenance operations in close coordination and communication with the Senior Director, Facilities and in accordance Exact Sciences policies and procedures.
  • Lead and inspire a culture committed to the highest standard of customer service and ensure that Facility employees serve as role models by practicing exemplary behaviors when working with customers, fellow staff members and the supervisory team.
  • Lead corrective and preventative maintenance, repairs, renewal and replacement, provision and monitoring of utilities, multiple building automation and environmental monitoring systems, energy management, fire and life safety compliance, as well as vendor contracting/management.
  • Assist with facility-related budget preparation, tracking, financial forecasting and identifying and implementing efficiency and effectiveness programs within facilities in order to manage personnel and costs appropriately.
  • Conduct and oversee maintenance forecasting, planning and analysis as well as leading the consistent improvement in operational and client services so that schedules are met and communications maintained.
  • Collaborate with stakeholders regarding problems pertaining to maintenance activities, actively communicate follow-up responses in writing to ensure full-circle communication.
  • Identify and meet customer service expectations for performance of maintenance services, internally and externally performed, including planned and unplanned services.
  • Establish work quality and productivity standards, provide leadership and direction for the team to ensure high staff morale and productivity.
  • Advise Senior Director on status and approve work requisitions; prepare plans, sketches and specifications for maintenance work; Inspect buildings safety, work quality and needed repairs.
  • Ensure the integrity of architectural systems (such as window, wall, roof, electrical, emergency power, fire protection/detection and data/technology/security systems).
  • Verify indoor air quality, temperature and humidity are “as designed.”
  • Ensure mechanical systems are operating at the designed efficiency in all operational modes, such as primary heating, ventilating, air-conditioning and refrigeration (HVAC&R) equipment and systems (including components such as boilers, water-cooled chillers, steam generators, cooling towers, roof-mounted air-handling units, energy recovery units and pumps); HVAC&R piping systems (heating hot water, chilled water, refrigerant, steam, etc.) and ductwork; terminal equipment (such as cabinet unit heaters, fin tube radiation, exhaust fans, fume hoods, unit ventilators, etc.); Building automation system (BAS) or Environmental Management Systems (EMS).
  • Develop in-service training programs.
  • Consult and advise Senior Directors of Facilities and Real Estate regarding alteration of existing structures.
  • Work with architects and contractors on the design, construction or major alteration of Exact Sciences buildings, reviewing and assisting in making changes in plans and specifications.
  • Identify cost reduction opportunities for analysis and implementation.
  • Identify, develop and build relationships with 3rd party vendors and service providers.
  • Participate in and may lead plan review and commissioning activities.
  • Partner with Real Estate and Capital Programs and functional leaders to develop and execute strategic portfolio space plans.
  • Oversee minor construction, repair and furniture projects. May serve as project manager when assigned.
  • Serve as liaison for design, development and procurement of facility-related systems.
  • Manage performance of self-performed and vendor-provided services including KPI tracking and ensuring that services are performed following SOPs and proper documentation of work completed to meet QMS requirements.
  • Ensure facility compliance with OSHA, FDA, EPA, CAP/CLIA and other health/safety and environmental related regulations.
  • Partner with Facilities Engineering and Facilities Services to provide input on needed work, coordinate impactful work with stakeholders and represent stakeholders’ needs.
  • Act as liaison between internal functions, such as Amenities, Wellness, IT and Security to represent and coordinate activities that require collaboration.
  • Assist in the planning, response and recovery operations for emergency situations and disaster recovery.
  • Maintain open communication with local agencies and ensure all permit requirements are complied with.
  • Assist in the development of short- and long-range operating objectives, organizational structure, staffing requirements and succession plans.

  • Ability to use computers daily in an interactive manner for extended periods of time and up to 8 hours per day.

  • Ability to travel (by land and air), on occasion.

Qualifications

Minimum Qualifications

  • Bachelor’s degree in mechanical, electrical or chemical engineering, or related field; or high school degree/GED and 4 years of relevant experience in lieu of degree.
  • 7+ years of related experience overseeing management of facilities departments in regulated environments.
  • 7+ years of direct leadership experience.
  • Authorization to work in the United States without sponsorship.
  • Possession of a valid driver's license, no more than two moving violations in the past 36 months, and no unresolved license revocation or suspension issues.
  • Maintenance of sufficient driver’s insurance to satisfy any applicable state or local requirements and at least $250,000 per person and $500,000 per accident in coverage.
  • Demonstrated capital project implementation for office, research laboratory, and GMP facilities.
  • Strong vision and history of implementing a high level of service.
  • Possess strong coaching skills to support performance management.
  • Experience implementing and managing computer integrated facility management solutions.
  • Ability to work independently with minimal direct supervision.
  • Experience with CAP/CLIA regulations.
  • Experience interfacing with various regulatory agencies and auditors required.
  • Computer literate and proficient in Microsoft Word, Excel, Outlook, Project, PowerPoint, etc..

Preferred Qualifications

  • Bio/pharma, industrial, healthcare facilities experience.
  • Experience with OSHA, EPA, and FDA.
  • CFM, SFP, or similar certification(s).
  • Experience in emergency management or business continuity planning contributing to the development, implementation, and maintenance of a complex organizational emergency management system.
  • Experience participating in or managing a sustainability effort including opportunity identification, project prioritization, metric development and reporting, employee engagement, policy development, and practice implementation.
