Job Description and Responsibilities

This position will be responsible for high level administrative support of a Senior Vice President of a leading public payments company and her teams (including four Vice Presidents). Must have the talent of staying steps ahead and anticipating needs. Looking for someone who enjoys the EA role, is confident and capable, and has depth and experience working with executives.  This role is based onsite in our San Francisco Office.

Responsibilities Include:

  • Professional and Efficient
  • Client facing and Executive facing role
  • Effective in-person, phone & email presence
  • Act as first contact for SVP and play role of liaison, problem solver, and facilitator
  • Understand organization and how to “get things done”
  • Effectively and successfully respond to problem situations
  • Ability to prepare formally for and effectively manage interactions with SVP
  • Ability to organize and prioritize across competing priorities
  • Prepare “week ahead,” and “day ahead” briefings
  • Track open issues and follow-up items to closure
  • Ability to manage high volume email and synthesize actions needed
  • Professional method for “acting, declining or redirecting”
  • Ability to manage complex and changing calendar
  • Complex Travel Requirements
  • Heavy electronic filing, expense reporting & record keeping
  • Preparation of high level meetings and events involving multiple companies
  • Comfort with purchase card, occasional Purchase Order & Invoice support

Support Provided to Team Members:

  • Organize visitor meetings (IDs, Rooms, refreshments (order and meet deliveries etc.), meet and greet, provide guidance to getting to building etc.
  • Be proactive and help teams deliver on actions and tasks requested
  • Work with other admins in a cooperative way
  • Handle new employee onboarding
  • Manage database access
  • Ensure Stationary and office supply inventory is maintained
  • Provide support to contractors/ consultants as needed
  • Be available when members of the team are traveling to take messages and communicate requests



  • Bachelor's degree
  • 10+ years of experience supporting a very high level executive for rigorous sectors such as  banking, private equity, or technology companies
  • Flexibility with a positive and approachable personality
  • highly advanced MSOffice skills and technologically savvy (Word, Outlook, Excel & PowerPoint)
  • Strong presentation and slide development skills (PPT)
  • An understanding of how to leverage a busy executive's time and willingness to do what it takes to contribute to their success and the success of the company.
  • A high level of discretion and confidentiality for both business and personal affairs
  • Good judgment, strong common sense and excellent attention to detail
  • A professional appearance and demeanor, excellent communication skills
  • Exercise good judgment in setting priorities
  • Strong ability to integrate feedback and eye on what is working and what is not and evolve approach accordingly
