Summary:

The Employee Leaves Manager will support all leaves of absence and workplace accommodations, ensuring that the employees at the ASPCA take the time they need, are healthy and happy, and therefore highly engaged in our mission and vision that animals live good lives. The Employee Leaves Manager serves as the subject matter expert and first point of contact for leaves of absence and accommodations in accordance with the ASPCA’s policies and federal, state, and local law. The Manager will ensure compliance and proper documentation of leaves and accommodations in accordance with all applicable laws and regulations, including the timely distribution of required forms and communications, tracking of all leaves, and administration of the ADA interactive process. The Manager will also own the functional lead role in our HRIS system, Workday, for absence (including leaves and time off plans) and be a participating member of the Benefits team.

This positions reports to the Director of Benefits and is based out of our NY office.

Responsibilities:

Responsibilities will include, but are not limited to:

Administration of Leaves and Accommodations:

  • Assist employees and managers through the leave of absence process and explain all leave policies and procedures (including but not limited to FMLA, ADA, Workers’ Compensation, USERRA, New York Paid Family Leave, ASPCA parental leave, and all state and local sick and other leave laws)
  • Determine leave eligibility and leave type based on federal, state, and local laws and ASPCA policies
  • Provide communications to employees on a timely basis throughout the leave cycle (such as designations and other notices, medical certifications, and forms)
  • Conduct necessary follow up with employees and managers on leave status, updates, pay, and work restrictions; communicate decisions and ongoing expectations with employees and managers
  • Process all disability and New York Paid Family Leave claims and ensure completion of the claims with all third party vendors
  • Work closely with managers to facilitate timely returns to work, utilizing the ADA interactive process when necessary
  • Evaluate requests for workplace accommodations and administer the ADA interactive process to establish, review, and update accommodations, working with the Legal Department as needed
  • Keep up with legal developments related to leaves and accommodations (including statutes, regulations, caselaw, and other developments) and update leave policies, procedures, and communication materials as necessary
  • Make recommendations and contribute to continuous improvement of leave administration and accommodations process

Workday Absence Management and Recordkeeping:

  • Act as functional lead for the Absence module of our Workday system, which includes both leaves of absence and time off plans; understand functionality and work with internal applications support and outside consultants on resolving issues and implementing enhancements
  • Enter all leaves of absence and related time off for employees on leave into the Workday system on a weekly basis; generate and review time off reports prior to weekly payroll processing and follow up with managers on any issues
  • Respond to user support tickets related to Workday time off functionality and resolve issues or escalate as needed
  • Participate in Workday Change Control Committee meetings and cross-functional meetings with Compensation, Finance, and IT teams
  • Develop and maintain systems for tracking all leaves of absence and accommodation requests, including Workdayreports and tracking spreadsheets
     

Benefits Support:

  • Work closely with the Benefits Coordinator on all workers’ compensationclaims; administer all leaves associated with Workers’ Compensation incidents
  • Participate in Benefits team meetings and assist with benefits administration and projects as needed, including serving as a back-up for other team members

Work Experience:

  • 3-5 years of leave administration experiencerequired, including experience with ADA accommodations; benefits administration experiencepreferred
  • Proficient in Microsoft Office Suite including Word, PowerPoint and Excel
  • Experience with the Workday system, specifically absence, preferred
  • Qualifications:

    Ability to prioritize, execute, and thrive in a fast-paced environment, Demonstrated proficiency with administration of workplace accommodations and leaves of absence, including but not limited to FMLA, ADA,Workers’ Compensation, andother federal, state, and local leave requirements, and general knowledge of New York Paid Family Leave administration, Excellent interpersonal skills - must be approachable and comfortable interacting with all levels of our employee population as well as senior level executives, and maintain strict confidentiality of sensitive employee situations and protected personal information, High level analytical and strategic problem solving skills and strong judgment, including ability to synthesize feedback from multiple parties and determine and execute an action plan, Outstanding communication and presentation skills (written and oral), Strong organizational skills, attention to detail, and mathematical aptitude, Willingness to handle flexible work hours andtravel to multiplelocations within the U.S. (up to 10%)
