Job Summary: Performs a combination of Data Management and Executive Administrative tasks, in compliance with Cubic's policies and processes. Generates Salesforce reports, maintains budgets and financial reports and compiles Competitive Intelligence data for Business Development and CMS Senior Management. Performs executive administrative level duties for BD SVP and Business Development functional groups in support of Business Development travel and scheduling responsibilities. This position typically works under general supervision and direction.

Essential Job Duties and Responsibilities:

Data Management

  • Prepares Business Development budgetary and financial reports using accounting principles and techniques as they relate to long range operational planning and objectives.
  • Compiles Competitive Intelligence information for review and analysis by Business Development and Senior Management.
  • Performs Data Management Administrative tasks that support CMS Business Development.
  • Creates SharePoint document libraries, password resets and sets up user permissions.
  • Works closely with the IT Service Desk to ensure SharePoint service requests are handled with high priority.
  • Ensures optimum CMS Customer quality service and regularly submits proposed changes to improve processes.
  • Communicates with Customers to provide access notification, User Instructions and Login credentials and to resolve questions/issues with Salesforce, Proposal and Business Development SharePoint sites.
  • Stores and retrieves documents by electronic media to maintain control of documents.

Executive Administration

  • Provides direct support to Business Development in carrying out administrative tasks essential to meeting business objectives
  • Performs a multitude of administrative tasks, involving all levels of complexity and time constraints, across the enterprise to support department management and staff
  • Performs department travel actions, which includes coordinating travel arrangements, completion of expense authorizations and expense reports via Concur
  • Provides administrative support for other Administrative department personnel as needed
  • Maintains inventory of department office supplies and orders office supplies as needed
  • Coordinates DocuSign approval routing for a variety of departmental documents

Minimum Job Requirements:

Four year college degree, or equivalent, in Business Administration or related field plus four years' experience. Proficient in the use of PC and associated software. Experience with Salesforce, SAP and SharePoint highly desired. Must be a self-starter, work independently, and effectively interface with technical employees, management, and customers. Must communicate effectively, both verbally and in written form. Must have demonstrated ability to prioritize projects and work under tight deadlines. Good reasoning, problem solving and excellent organizational skills are required. Must be capable of working at a computer terminal (workstation) up to nine hours per day. Must be capable of lifting and transporting 30-pound boxes of various types of documentation
