In this administrative position, you will be responsible for a variety of advanced administrative functions for multiple lines of business, primarily supporting our Sales and Growth initiatives. This includes routinely developing presentations and advanced spreadsheets, managing multiple projects involving complex and confidential data, and providing guidance and assistance to other Office Service team members throughout Indiana.

 

This position is also responsible for coordinating and executing line of business specific procedures. This is an opportunity to work with a dynamic group of motivated professionals at various levels and an excellent opportunity to showcase your strong technical and customer service skills.

 

Qualified candidates will possess the following:

  • 5 to 7 years Senior level administrative support experience
  • Flexible demeanor, pro-active thinker with positive client focused attitude
  • Previous experience in a professional services environment a plus, but not required
  • Advanced Microsoft Office 2013 skills essential
  • Prefer strong experience with Salesforce or CRM database software
  • Effective organization and time management skills
  • Capable of analyzing moderately complex and confidential data
  • Excellent proofreading skills
  • Continuously seeks ways to improve efficiency
  • Aptitude to create and work with advanced spreadsheets using PivotTables, Lookup, and IF statements
  • Strong written and verbal communication skills
  • Capacity to see and understand the big picture to determine approach for completion of fine details
  • Ability to manage multiple tasks and shift priorities as necessary to meet deadlines
  • Ability to take direction, follow procedures, and ask appropriate questions
  • Can complete tasks independently as well as work collaboratively with the team
  • Ability to handle stress while operating with a sense of urgency and using good judgment

Responsibilities:

  • Provide high level administrative support primarily to our Sales, Growth and Marketing teams
  • Prepare and finalize proposals and documents with a strong working knowledge of formatting, merge documents, styles, section breaks, headers/footers, tables of contents and more in Microsoft Word
  • Create, update, and prepare presentations; including charts, graphic and tables, speaker notes and handouts in Power Point
  • Provide data entry, report and research support utilizing firm wide eCRM database
  • Edit PDF documents, including electronic signatures, typewriter and edit functions within PDF, custom electronic stamps, and virtual company letterhead
  • Calendar management, travel/event planning, meeting/conference arrangements (food, hotel, air)
  • CPE coordination, event coordination and planning start to finish, keeping the planning team on task with notes, professionally communicating with presenters and team members.
  • Ground level marketing campaign support and coordination (includes communication of initial ideas to marketing team, data cleansing practices, print coordination, etc)
  • Marketing invoice processing and approval procedures, expense tracking
  • Acts as a resource for providing existing, approved marketing collateral to pursuit teams
  • Complete proposal certification process; act as eCRM and marketing liaison to multiple teams
  • May coordinate with Office Services staff to ensure adequate support is available throughout the day for area of responsibility
  • Assist partners to associates with a variety of daily tasks
  • Maintain client information in multiple computer applications, organizational systems: electronic and paper
  • Serve as a member of the Office Services Indiana team and provide remote back up as required
  • Participate in team meetings and activities
  • Other duties as assigned
