General Purpose:

The Senior Administrative Assistant provides a wide range of administrative support to the Chief Resource Officer and the Training & Development Manager in the Office of Development. Responsibilities include, but are not limited to, drafting, editing, and proofing printed and digital documents; assisting with the full range of logistics for meetings, training programs, and other staff events (e.g., scheduling, registration management, identifying and booking venues, identifying and arranging for equipment needs, preparing training/meeting materials, providing on-site support including room set-up/break-down, and post-event assessment); assisting with the department orientation program; and processing expense reports. In addition, and as a member of the administrative services team, the Senior Administrative Assistant will provide financial and operational support as needed to the other units under the oversight of the Chief Resource Officer including the Office of Development Business Office and Building Operations.

Required Education and Experience:

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Qualifications:

  • Excellent interpersonal skills, with the demonstrated ability to work effectively and collegially with a range of individuals from all levels of the organization. Able to work independently as well as collaboratively as part of a team. Able to provide excellent customer service via telephone, e-mail, and in-person.
  • Outstanding organizational and problem-solving skills. Proven accuracy and attention to detail. Demonstrated ability to meet deadlines, juggle multiple projects simultaneously, and tolerate interruptions with minimal supervision. Demonstrated reliability, punctuality, and an excellent record of attendance.
  • Excellent communication skills (verbal and written), with the ability to ensure that communications are accurate, timely, and helpful. Excellent proofreading skills. Professionalism and the ability to maintain strict confidentiality.
  • Willingness to take on new projects and tasks. Demonstrated ability to multi-task effectively in an often time-constrained environment while maintaining professionalism. Demonstrated flexibility and agility, and must be able to adapt readily to changing work demands.
  • Strong computer skills with experience with the Microsoft Office suite including Outlook, Word, and Excel; comfort level with learning new online tools. Ability to move/rearrange furniture.
  • Preferred Education, Experience and Skills: Experience in higher education or a similarly complex organization. Familiarity with Yale University. Experience with Workday and/or financial transactions.
