Role and ResponsibilitiesThe job duties and responsibilities of this position will include, but are not limited to, the following:
- Manage a team of project accountants across multiple MSS offices.
- Collaborate with the Project Accounting and Accounts Receivable teams, through regular meetings, to implement processes that will provide consistency in billing practices across all MSS divisions and locations.
- Ensure project accounting teams' adherence to processes related to collection of project related billings and identify/implement process improvements as needed.
- Collaborate with the Project Accounting and Accounts Payable teams, through regular meetings, to implement processes that will provide accuracy and consistency in subcontractor-related processes.
- Oversee the preparation, accuracy, and timely submittal of project billing documents and AIA payment applications by Project Accounting team members.
- Oversee management of customer billing portal access.
- Assist in customer account reconciliations as needed.
- Assist with job set up in ERP system and understand financial impact.
- Assist with processing change orders in ERP system and understand financial impact.
- Monitor job status and performance of large, multi-division, MSS projects.
- Monitor the Job Cost email inbox to ensure email requests are being addressed in a timely manner.
- Assist, as needed, in the preparation of Sales Tax Affidavits and the maintenance of Sales Tax documents related to exemption status.
- Assist, as needed, in the preparation of Lien Waivers, and ensure lower tier lien waivers provided by our subs are submitted with our billings to customers in a timely manner.
- Collaborate with Project Coordinators and Project Managers.
- Maintain understanding of the financial impacts from projects per region.
- Assist with project accounts payables and receivables, including communicating with subcontractors, vendors, and customers regarding invoices and billing errors.
- Participate in monthly job status review meetings with Project Managers and Operations team.
- Review and validate revenue recognition for construction activities.
- As needed, in addition to assisting the Project Accounting team as detailed above, the Project Accounting Manager should be able to perform the functions of the Project Accountants.
- Periodic visits to regional offices, which may or may not require overnight travel.
- Assist Controller with annual external financial audit including initial audit preparation and responding to auditor requests.
- Collaborate with cross-functional teams to gather necessary information and resolve any outstanding items.
- Provide guidance and support to the Project Accounting team, promoting professional growth and development.
- Conduct performance reviews, provide feedback, and mentor team members to foster their professional growth and development.
- Participate in the hiring process by conducting interviews, assessing candidates' qualifications, and making recommendations for team additions.
- Other duties and responsibilities as assigned by the Company from time to time.
Qualifications and Requirements- Construction Accounting/Industry experience is required.
- Prior experience as a Project Accounting Manager, Sr. Project Accountant, or similar role preferred. Prior experience with a large Subcontractor is a plus.
- Prior experience managing a team.
- Bachelor's degree in Accounting, Finance, or a related field preferred.
- Experience working with financial software and ERP systems, Viewpoint Vista preferred. Advanced proficiency in Microsoft Excel.
- Excellent time management skills, coupled with an ability to juggle and prioritize competing demands.
