Responsibilities :

The Office Manager leads a team, responsible for supporting all internal and external efforts of our partners, department staff, and clients. We are looking for a stellar manager with strong interpersonal and communication skills, and positive work ethic. This is an amazing opportunity to work with our current Office Manager who will provide interim training and transition into the Firm and its Operations.

Duties include:

  • Provides high level administrative and business support to the Tax department and the San Francisco office, by meeting the administrative needs of both internal and external clients.  Services are provided in a manner that demonstrates the highest levels of quality, accountability, and teamwork.
  • Mentors and leads administrative support staff and responsible for the timely and accurate support of initiatives, information requests, etc.
  • Provides support on training and development, people management, and workforce deployment/staffing.
  • Plays a key role in supporting the Facilities Management for our San Francisco location.
  • Accurately and efficiently format, proof, finalize and distribute Firm documents, adhering to the established guidelines and quality control methodologies and standards.
  • Confirms completeness and accuracy of own work and checks the work of others to confirm there are zero defects in order to minimize errors.
  • Monitors, prioritizes and processes work-flow in a timely manner which includes updating metrics and other relevant departmental and office production information.
  • Develops an in-depth understanding of Firm service areas and departments.
  • Understands and adheres to organizational, tax, and legal policies for quality, risk mitigation, confidentiality, and data privacy.
  • Provides support on training and development, people management, and workforce deployment/staffing.
  • Assists with other administrative duties, including but not limited to partner support and other practice support areas as needed.
  • Reports to Managers, Senior Managers, Directors and Partners.

Requirements

Experience:

  • 5+ years of previous senior administrative assistance experience, preferably assisting senior level managers or executives
  • Facilities planning and coordination experience helpful
  • Exceptional customer service skills
  • Sets high technical standards for personal performance
  • Excellent verbal and written communication skills
  • Strong attention to detail, and a commitment to quality
  • Proven ability to take initiative and responsibility for completing work
  • Demonstrate leadership skills in all areas – supervision, development, coaching, training, communications, organizational, and people skills.
  • Able to perceive and analyze problems, develop alternatives and implement resolutions.
  • Extensive technical knowledge with the Microsoft Office Suite, Adobe.
