Payroll & Equity Manager
The Payroll and Equity Manager is responsible for ensuring timely and accurate payroll processing for our U.S. and European offices and for managing equity-related information flow between the company and our third-party equity administrator. The Payroll and Equity Manager can expect to work closely with our Human Resources team to ensure all payroll-related personnel actions are accurately captured within our Workday system and will be the primary liaison with ADP for all payroll tax compliance workstreams.
Key Responsibilities
- Payroll
- Execute timely and accurate payroll processes, including regular and off-cycle payrolls within our Workday payroll system (U.S.) and ADP systems (Europe)
- Prepare journal entries & monthly reconciliations
- Respond to confidential questions from employees
- Partner with Human Resources to ensure timely and accurate employee transactions and to provide ad hoc support
- Create and update documentation on payroll policies and processes
- Assist with the quarterly and year-end audit process
- Support other regulatory activities as needed, including local, state, IRS, and workers compensation audits
- Equity
- Communicate all equity award activity to the third-party equity administrator
- Monitor equity pool reserves, exercises and vesting events
- Respond to questions from employees related to equity awards
- Ensure income and taxes associated with employee equity activity (i.e., exercises, vesting) are properly recorded on W-2s and taxes are remitted timely to tax authorities
- Support legal team to file required forms with the Securities and Exchange Commission related to executive and Board of Directors’ equity activity, including new grants, and purchases and sales of common stock
- Support communication and compliance with our insider trading policies, including monitoring 10b5-1 plan activity
- Serve as liaison with external and internal functional experts regarding tax considerations and issues with respect to equity awards
- Assist with the period end financial reporting associated with equity plans, including the preparation of period end journal entries for share-based compensation
Experience & Qualifications
- Bachelor’s degree in in accounting, business, management, finance or related field
- CPP (Certified Payroll Professional) or Certified Equity Professional (CEP) designation preferred
- 7+ years of experience in payroll and stock administration
- Basic knowledge of US GAAP
- Understanding of internal controls related to payroll and equity
- Proficient in Microsoft Excel
- Excellent problem-solving skills and high level of attention to details and accuracy
- Able to multi-task and prioritize work under tight deadlines
- Strong written and verbal communication skills with the ability to communicate with all levels within an organization
