The position of Payroll and Billing Coordinator is responsible and accountable to the Operations Manager including, but not limited to assisting with any and all of the following duties:

  • Processing/entering all actual hours of all timecards and records of care on a weekly basis in order to meet the specified deadline for all locations
  • Ensuring timecards and records of care are filled out accurately, copying all records of care for insurance purposes
  • Ensuring pay rates are entered accurately for caregivers on website used
  • Tracking credit card information and expiration dates for all Bayshore clients. This includes notifying clients and obtaining new guaranties of payments and credit card authorization forms.
  • Making decisions regarding timecards, overlaps and how to bill and pay certain shifts
  • Assisting with client insurance claims by faxing in claims with accurate record of care sheets weekly
  • Assisting/preparing reports associated with payroll
  • Processing of all payroll through ADP weekly including calculating overtime rates for caregivers
  • Processing billing, including individual client billing and contract billing at appropriate rates
  • Mailing all client bills; performing collection duties when needed
  • Keeping an accurate record of accounts receivable; responding to client questions regarding bills
  • Preparing employee paychecks from signed time cards; responding to employees inquiries regarding pay; preparing W-2 forms at year?s end
  • Preparing weekly, monthly and quarterly reports for the CFO including payroll and accounts receivable aging
  • Ability to work without interaction of others
  • Willing and able to sit for long periods processing and filing paperwork


  • Proficiency in computer skills to include Microsoft Word and Excel with ability to learn and utilize other software applications utilized by Bayshore
  • Exceptional oral and written communication skills
  • Proficiency with numbers and detail oriented
