The Office Manager for HR and Administration is responsible for all administrative and office functions within the Administration Division (HR, Volunteers, Mailroom, Reception) and assures communication and coordination between other Garden departments in the ordering of supplies, uniforms and copiers. They will assist HR staff and managers in HR projects, reporting, and other tasks as needed. They will:

Specific Duties & Responsibilities:

  • Supervise the Human Resources Assistant in performing administrative tasks
  • Serve as backup supervisor to Reception and Mailroom staff. Coordinate HR and Reception phone coverage
  • Coordinate the annual Employee Service Awards Program, Holiday Staff Party, General Staff Meetings, and other events
  • Track distribution and receipt of annual employee evaluations
  • Maintain the institutional telephone list
  • Negotiate (with the VP) best prices for institutional supplies and equipment. Oversee the ordering of institutional supplies and copiers. Orders supplies and equipment for the division
  • Monitor HR and Administration budgets
  • Manage annual uniform order once a year for Operations, Custodial Services, Engineering and Horticulture. Assist departments, as needed, with design and ordering of professional uniforms (jackets, shirts, and ties)
  • Create and update institutional and departmental organization charts
  • Functions as backup to the HRIS & Compensation Manager on HR systems data entry and PAF processing. Assist with system changes, upkeep, and employment verifications
  • Train and assist HR staff in use of HR systems
  • Assist with Open House events and onboarding of new hires
  • Assist the VP, AVP, and Directors with projects as needed

  • At least 5 years of experience in an office environment, legal office experience a plus
