Occupancy Planning Manager

Position Description

Join the JLL team of 350 Occupancy Planning professionals engaged in optimizing space use, creating space solutions, and achieving cost savings for 65+ clients and 400 million SF of real estate worldwide. The Occupancy Manager is responsible for consistent delivery of planning services, space data management, and occupancy reporting within the framework of the client’s workplace programs and strategy. This role will be a regional team lead for our client in the financial services industry, located in Plano, TX.

Relocation assistance may be offered. The Occupancy Manager will operate within our client’s fast paced, forward thinking culture applying expertise in occupancy scenarios and solutions, data analysis, demand planning, and workplace practices to recommend space optimization programs and cost reduction strategies. He/she will interact with the client’s internal CRE team and client end users up to the senior and/or executive management level. This position reports to the Occupancy Planning Director.

Essential Duties and Responsibilities

  • Acts as single point of contact on planning issues for the client’s CRE management team, JLL account management, and a regional team of Occupancy Planners
  • Accountable for the results and performance of the regional Occupancy Planning team and service delivery on the account
  • Understands the client’s regional portfolio composition, and ensures the client’s high level real estate strategies and programs are reflected in proposed occupancy plans and options
  • Leads the generation of multiple solution options for complex occupancy problems, such as M&A, rapid growth, consolidations, or economic disrupters
  • Develops and leads the demand planning program to analyze forecasted demand for space against supply of space over one to three years
  • Aggregates and interprets data from multiple sources (business requirements, client programs/initiatives, capacity data, time constraints, lease options, market conditions, external factors, current supply of space and projected demand for space), and translates analysis into actionable information for client decision making
  • Accountable for space data integrity and accuracy including building and organizational data, allocations, and occupancy utilizing a CAFM/IWMSdatabase
  • Reports on regional occupancy, vacancy and utilization metrics
  • Demonstrate in-depth knowledge of workplace concepts, programming/factors calculators, and office design principles
  • Ensures regional consistency in delivery of JLL services by providing training, following standard operations manual, and incorporating evolving best practices into the account team’s work product
  • Accountable for the annual account budget and monthly financialreporting for JLL practice management while tracking to assigned financial targets
  • Accountable for the health of the account engagement including business plans, succession plans, employee skill development, KPI’s and SLA’s
  • Experience with compliance and regulatory considerations for the financial sector

Required Knowledge, Skills and Abilities

  • 5 to 7 years work experience in occupancy or space planning at a strategic level; interior office planning; or move/project management; AND 2 or more years supervisory experience
  • Demonstrated display of analytical skills
  • Excellent written and verbal communication skills; able to tactfully deliver difficult messages, and tailor information to the audience; presents equally well to executives, large and small groups
  • Advanced proficiency in MS Office (Excel, PowerPoint, and Word) with the capability to master client specific programs
  • Proficient in CAFM/IWMSdatabase (i.e. FMS, Manhattan, Tririga, Archibus, or similar)
  • Basic to intermediate proficiency in AutoCAD
  • Self-motivated, able to work independently and within a team to build relationships and interact effectively with business partners
  • A desire to work within a diverse, collaborative, and driven professional environment
  • Comfortable with frequent or rapid change; flexibility to adapt to shifting priorities
  • Ability to effectively manage time, organize and prioritize deliverables and workload
  • Demonstrated consistency in values, principles and work ethic

  • Domestic and/or international travel is required

Supervisory Responsibilities

This position manages a team of 2-4 Occupancy Planners

Minimum Required Education

Bachelor’s Degree in Management, Architecture, Design, Real Estate, Construction or a related field; Advanced degree a plus
