Responsible for managing all aspects of one or more of the Document Custody areas/processes including but not limited to: collateral files/documents, underwriting files, collateral exceptions, lien perfection, assignments, imaging, mortgage amendments, lien releases and re-conveyances, Mortgage Electronic Registration Systems [MERS] and loan conversions.


  • Process management:   Manage all activities associated with the area/process. Audit activities to ensure they are being completed accurately and timely in accordance with the department’s policy and procedures. Review and analyze processes, work flows and procedures, making changes as applicable to improve effectiveness and reduce costs. Capture and report productivity results for each employee and each process. Review and revise production and quality standards as appropriate based on results and/or process/procedural changes. Create and maintain a capacity/staffing plan for each process. Ensure policy and procedures are documented and updated as changes occur.

  • People management: Coach, develop and lead employees. Be a knowledgeable resource who is available when questions or issues arise. Ensure all employees are properly trained and have the tools/resources they need to perform their job duties. Define and communicate goals and expectations. Provide regular feedback. Address performance issues professionally and respectfully. Maintain open lines of communication with employees. Work with Human Resources to recruit and hire employees as necessary.

  • Vendor Management:  Establish and maintain good working relationships with vendors. Define and communicate expectations. Monitor reports to ensure expectations are being met. Identify and report issues as necessary. Work with vendors to correct issues and improve processes. 4. Projects and Initiatives. Support new loan acquisitions and loans sales. Support new projects and initiatives that affect the department. Complete projects as requested.


  • 4-year degree or equivalent job experience

  • Minimum 8 years’ experience working in a financial or document processing environment

  • 5 years supervisory experience

  • Previous computer/data entry/PC experience

  • Strong analytical skills

  • Strong oral and written communication skills

  • Strong organizational skills

  • Must be detail-oriented and capable of working on multiple items at once

  • Ability to direct, lead and motivate staff

  • Ability to work flexible schedule including evenings and weekends in order to meet the needs of the department

  • Knowledge of company guidelines and operating procedures for timely delivery of all data required

  • Working knowledge of Excel, Access, Word programs

  • Ability to meet department attendance standards
