What you’ll do

Manage calendars and conference calls, make appointments, book conference rooms, and organize meetings for a busy senior executive and her team

Coordinate domestic and international travel arrangements

Create and process expense reports

Manage phone coverage for team and set up conference calls as needed

Perform personal assistant functions (scheduling, reservations etc.), if required

Work on special projects as needed


Assist with training junior staff members and new hires, specifically administrative assistants

What’s required

Minimum 5 years related experience supporting senior level mangers (experience in financial services a plus but not required)

Ability to exercise sound judgment in assessing and determining how to handle queries, calls and issues

Ability to anticipate work, multitask and prioritize assignments

A self-starter who will independently recognize when a team process is suboptimal and recommend a solution

Ability to work quickly and efficiently with little to no direction from leader(s)

Ability to handle confidential information with discretion

Willingness to handle time sensitive requests during non-business hours

Ability to work independently

Extremely professional demeanor and attitude

S/he must exhibit strong organizational, communication and interpersonal skills

High level of proficiency with Microsoft Outlook, Excel and Word required

Commitment to the highest ethical standards

College degree required
