Responsibilities include but are not limited to:

  • Oversee the recruiting process for all staff positions for Phoenix office. This includes creating or updating the job description, posting the position, overseeing the screening process, interviewing candidates, pre-hire paperwork, offer letter and onboarding paperwork.
  • Oversee the new employee orientation and training process for new staff to ensure new employee has adequate resources and support.
  • Work with administrative department leaders, practice group leaders, and attorneys to ensure adequate staffing resources and structure are maintained.
  • Confer with attorneys, paralegals and legal administrative assistants regarding secretarial assignments, performance problems and need for additional training.
  • Monitor and coordinate appropriate legal administrative assistant staffing ratios and workflow.
  • Assign staffing resources to new attorneys, summer associates, and others as needed.
  • Coordinate office assignments and desk assignments to new attorneys and staff. Coordinate internal office and desk relocations as needed.
  • Oversee the annual evaluation and merit increase process for Phoenix staff. Meet with staff during their anniversary month to provide feedback on their performance and provide them with information on their compensation.
  • Oversee various staff recognition events throughout the year, including Administrative Professionals’ Day, holiday party, annual milestone awards event, and other miscellaneous events and activities.
  • Monitor and approve administrative overtime worked by legal administrative assistants.
  • Review and authorize timesheets in the time and attendance system.
  • Conduct exit interviews, as assigned, for administrative staff.
  • Coordinate educational workshops for staff, including dates, topics and the tracking of attendance.
  • Assist with the maintenance of the HR departmental procedures manual, supplying information relevant to procedures in the office.
  • Attend HR department meetings.
  • Assist with office-specific and firm-wide projects as necessary.
  • Recognize potential legal issues (e.g. sexual harassment, discrimination, termination) and discuss with appropriate resources for direction and guidance.
  • Serve as the first point of contact for employee relations issues within the office. Counsel employees as necessary to employees to help effectively resolve issues. Keep CHRO and others apprised of issues, as necessary and appropriate.
  • Ensure proper documentation for all employee relations issues and staffing matters for the office.

Education and Experience Requirements:

  • Minimum of 5 years' previous HRexperience in a law firm or professional services setting or a combination of experience and education.
  • Ability to maintain a high level of confidentiality and discretion as appropriate.
  • Previous supervisory experience of 3-5 years in a related environment, preferred
  • Excellent communication, interpersonal, and organizational skills.
  • Demonstrates teamwork, creativity, a desire for continuous improvement, and commitment to the profession.
  • Ability to work both independently and collaboratively
  • Ability to use good judgment in decision making.
  • Commitment to providing superior customer service.
  • Ability to interact effectively with people at all levels of the firm.
  • Thorough organizational skills for prioritizing workload and recruiting efforts.
  • Excellent interpersonal skills, ability to work under pressure, and deal with demanding deadlines; strong attention to detail and team-oriented attitude.
  • Thorough knowledge of Firm systems and procedures to efficiently meet Firm personnel demands.
  • Advanced technical skills including prior experience with recruiting software and HRIS systems.
  • Bachelor's degree in related field, preferred.
  • Advanced knowledge of PC applications, including the entire suite of MS Office applications (Microsoft Word, Excel, and PowerPoint).
  • PHR or SHRM-CP certification is a plus.
