About the Real Estate and Facilities Space Planner Position:

As Real Estate and Facilities Space Planner, you will develop and recommend strategies for short and long term real estate and space plans that are:

Aligned to Line of Business needs and Real Estate & Facilities goals and objective

  • Can be delivered in a timely manner

The position will report into the Manager, Strategic Planning; Headquarters Region. The Strategic planning team goals are as follows:

  • Stay abreast of internal activities that will directly impact the real estate portfolio

  • Proactively respond to changing or new business needs

  • Understand customer business objectives and timelines

  • Provide innovated space solutions

  • Recommend, standardize, and improve HQ planning processes

  • Collaborate with our internal Workplace Strategy & Projects Team (Project Management, Furniture, Moves, Adds and Changes (MAC), Transactions)

  • Establish strong working relationships with local and Regional Real Estate & Facilities and Regional Planning teams, HR, Finance, Global IT, Global Data Center Services (GDS labs), Security and Real Estate Technology

  • Share best practices around

As Real Estate and Facilities Space Planner, you perform a critical role as a member of the Real Estate & Facilities team. Responsibilities vary and will include but not be limited to the following:

Strategy Planning (30%)

Participates in the development & integration of space management tools & processes to improve efficiency

Provide information needed to assist leadership in making improvements to portfolio planning efforts and cost savings initiatives

Assist in the development of alternative workplace strategies

Space Management & Planning (40%)

Establish and maintain relationships with internal Line of Business (LOB) to understand their needs and the impacts to our portfolio

Act as the single point of contact for various LOBs for all MAC projects

Maintain customer growth projection data in relation to space utilization

Develop occupancy analysis reporting to effectively communicate occupancy/vacancy ratios, headcount projections and workplace conditions

Develop project plans including budget and schedule for all , stack, block and scenario plans, test-fits and final relocation plans.

Ability to create test fits, scenario plans, space and furniture configurations, as needed with appropriate tools such as AUTOCAD, etc. and other space planning tools

Manages process to audit physical space for accuracy of drawings, space type and occupancy information

Coordinates with the MAC team to review and plan schedules for group moves execution

Manages project lead role as it relates to restacks and consolidations

Executes, tracks and reports on space allocations and ensure all changes are updated in the space management system

Creates group move relocation strategies and solutions and communicate effectively with all parties involved

Collects qualitative and quantitative space requirement information for space programming

Reporting and Analysis: (30%)

Perform customized analytics including:

o Site utilization analysis

o Capacity plans

o Stacking plans

o Scenario plans

o Vacancy analysis

o LOB demographics

o Occupancy planning

o Cost analysis

Preferred Skills:

  • Experience (5+ years) in Workplace Planning
  • Bachelor's Degree (B.S. /B.A.) in Architecture, Interior Design or Environmental Psychology
  • Show an interest in sustainable design strategies – LEED certification desirable
  • Strong business acumen as the position will interact closely with Director, Senior Director and VP level stakeholders
  • Ability to think strategically and analytically, yet work tactically to bring projects to completion
  • Versed and skilled in usage of spreadsheets, graphical and presentation software
  • Proficient in AutoCAD and familiarity with demographics and mapping software is strongly preferred
  • Proficient in CAFM/IWMS databases
  • Excellent written and verbal communication skills

Provide building and office management services for economy of operation and maximum usage of facilities and equipment. Work with external vendors to develop and implement facilities plans. Review vendor contracts, onsite vendor performance, timely work order completion, and construction related activities. Participate in collaborative space planning efforts with internal resources and user groups. Prepare and monitor annual property budget and other related costs in facility planning. This position will interface with both senior management as well as individual contributors.

As a member of our Real Estate and Facilities team, you will assist the building or office manager in all aspects of daily operations. This may include managing Oracle's office space and equipment. Ensure adherence to company guidelines, processes and building and safety codes. Obtain, review and estimate design costs including equipment, installation, labor, materials, and preparation. Prepare annual budget. Conduct benchmarking.

Job duties are varied and complex utilizing independent judgment. May have project lead role. Applies professional, technical, and operational depth and experience to continuously improve service quality. Excellent communication and decision making skills. Familiarity with email and MS Office applications is essential. Willing to function as after- hours contact for facilities emergencies and be accessible via phone or pager. Degree, relevant certification or equivalent with 5 years prior facilities management or assistant property manager experience preferred.
