Job Summary:

WEX is seeking a dynamic Executive Assistant to provide administrative support to the Chief Legal Officer (CLO), assigned direct reports and the remainder of the Legal Department as capacity allows. The ideal candidate would be someone who is creative and enjoys working in a fast paced, results driven and publicly traded corporate environment. Having strong written and verbal communication, and organizational skills, and the ability to maintain a realistic balance among multiple priorities for both themselves and their executive is a must.

This role is not eligible to work from home due to the needs of this department.

Performance Objectives:

The ideal candidate will have the opportunity to:

  • Work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of activities and confidential matters with the utmost discretion.
  • Manage confidential and time-sensitive materials, prepare and compile material for presentations and documents for internal and external use.

  • Act as the gatekeeper using sound judgment in what needs to be elevated, delegated, communicated or managed.

  • Make high-level contacts of a sensitive nature inside and outside the Company.

  • Relieve CLO of administrative type functions in order to increase time for executive level responsibilities.

  • Effectively work with senior level executives within and outside the Company, as well as customers, vendors, visitors and other dignitaries.

  • Arrange domestic and international travel plans and itineraries for CLO and others (as time permits) and submit related expenses using enterprise-wide procurement solution.

  • Work independently to determine methods and procedures on new assignments and may coordinate activities of other personnel.

  • Organize and assist with the management of the CLO’s executive, outside community involvement and personal calendars.

  • Handle a wide variety of situations and conflicts involving clerical and administrative functions.

  • Network with key contacts outside own area of expertise.

  • Handle special projects as assigned.

  • Assist with the preparation of the annual Department budget, participate in budget meetings with the CLO and monitor/manage expenses against the budget alerting Finance Team of expected and unexpected changes.

  • Set-up of law firms and other vendor management, managing the review of legal bills and raising purchase orders for payment.

  • Prepare form documents for CLO or other Department attorneys.

  • Exercise judgement within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Qualifications

Qualifications:

  • Typically requires a minimum of 8 years of related experience supporting C-suite level executives, preferably within a public company
  • Bachelor’s degree (or equivalent experience)

  • Self-starter, able to multi-task, handle large volumes of work and work well under deadlines
  • Manage multiple priorities and tasks with ability to reprioritize

  • Work well in a team environment; yet be able to work independently with limited supervision
  • Excellent technical skills including strong Google knowledge required
  • Must pass successful background investigation
