Job Description

IFF has an immediate opportunity for a dynamic and energetic Executive Assistant for our Chief Human Resources Officer based at global Headquarters in New York City. In this key role, you will be the right hand to our CHRO providing day to day support as well as assuming project management responsibilities within the HR Department. You will manage travel, expenses and scheduling for the CHRO while also assuming some HRsupport in the capacity of event management and coordination, presentation development, and some data analysis as required. You will partner seamlessly with the other executive assistants in the C-Suite providing support to our executive team and their guests. We are seeking individuals with the capacity to think proactively and move quickly in a rapidly changing environment. Your ability to learn on the fly and make sound decision is essential to your success, and the success of the team! This role offers fantastic exposure and development opportunities.

Responsibilities include, and are not limited, to the following:

• Heavy calendar management: coordinating and scheduling internal and external meetings, along with resolving any conflicts

• Coordinate meetings including: book conference rooms, confirm attendees, catering, agendas, and preparing any meeting materials

• Assist in the manage of HR department projects

• Ensure CHRO is prepped and prepared for all meetings and support debrief and follow up action item collection and execution

• Develop and maintain strong relationships across teams, especially at the executive level

• Assist in the development of presentations for a C-Level audience

• Resolve inquiries with appropriate team members and ensure timely response to urgent issues

Required Skills

Ideal candidates will possess the following skills and experience:

  • Bachelordegree in Business or related field
  • At least 7 years in an Executive Assistant role, directly supporting C-suite executives in a large global organization
  • Excellent interpersonal, written and verbal communication skills
  • Prior experience with complex international travel coordination
  • Advanced skills with Microsoft Office (Word, Excel, and PowerPoint)
  • Ability to manage multiple high-level projects at one time and prioritize activities appropriately
  • Event management experience and knowledge of New York City event spaces & restaurants
  • Ability to demonstrate composure and self-confidence in difficult situations
  • Experience / consistent performance in deadline-oriented environment due to tight time restraints and volume of work
  • Exceptional organizational skills; extensive experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum direction
  • Self-starter; the ability to work with minimum supervision
  • Ability to learn quickly in an environment where all the information may not be clear
  • Ability to handle sensitive information in a confidential way
  • Strong internet and research skills
  • Must take ownership and be committed to deliver excellence
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including peers, board members, customers, etc
