Executive Assistant to Partners

Position

We are seeking an Executive Assistant to join our team, working directly with our Partners and Principals.  The Executive Assistant will be responsible for the coordination of activities (operations and planning) and ensuring timely flow of information to and from the Partners.  S/he will handle details of a highly confidential and critical nature, and must function efficiently and effectively in a fast-paced professional environment.  S/he will have a proven ability to independently manage multiple tasks and projects with competing priorities and deadlines, screen and prioritize communications and opportunities from external and internal sources, and organize and maintain administrative processes. The selected candidate will have a business style that is team-oriented, hands-on, and exhibits a high level of professionalism.  

Responsibilities

DUTIES/RESPONSIBILITIES

This position is an opportunity for someone who is looking to have responsibilities beyond the traditional “administrative” role and assist in client and project related work.  This position will serve as a “right hand” to Partners.  S/he will be involved in highly confidential work, including internal and client-related work.   

Specifics include the following:

  • Reviewing broader goals and priorities and keeping the Partners on track with
    • Oversight/recruitment of relevant project management
    • Managing outbound communications and networking
    • Inbound e-mail managements
    • Filing and Evernote management
    • Reviewing and scheduling priorities
  • Travel arrangements, particularly international travel
  • Managing other constituents in network through the various outsourced tasks above
  • Anticipating the Partners' needs and proactively bring together appropriate people and resources to support the executive in addressing issues.
  • Assisting with editing PowerPoint slides, including client and internal presentations.
  • Expense management for partner, including entry and reconciliation with credit records
  • Assist with special projects as required
  • Conducting research on articles, presentations, news, and data regarding key topics including
  • Handling of confidential information in a professional and discreet manner.

Requirements

  • BA/BS required
  • Minimum of 10 years of related experience, with significant experienceworking within professional services environments; Consulting firm experience strongly preferred
  • Superior communications, both verbal and written.
  • Advanced knowledge of Microsoft Word and PowerPoint with proficiency in Excel
  • Demonstrate a high level of motivation with the ability to think critically and take initiative in problem-solving.
  • Must be efficient and effective in managing multiple priorities with ability to stay focused and to think on his/her feet in a deadline driven environment.
  • Professional demeanor.
  • Ability to maintain confidentiality is a must.
