POSITION PROFILE

Our client is a privately held financial services company that has been around more than 5 years, and is rapidly expanding. Their Co-Founder and CFO is seeking a qualified Executive Assistant to help oversee the day-to-day operations, to coordinate travel, meetings, phone calls, and events, and to accompany the CFO on international business trips.

Essential Duties and Responsibilities:

Duties & responsibilities include, but are not limited to:

? Schedule all meetings, phone calls, webinars, dinners and entertainment for the company.

? Coordinate all travel arrangements including flights, hotels, drivers, and other aspects of domestic and international travel to Europe, Asia, and Latin America.

? Manage bookkeeping vendor working with the CPA, checking the bank account balance on a regular basis, and preparing weekly commissions and sending the wires for them. Update Google Sheets for Sales, Reserves, and Wires.

? Check the Processors? back office, with full back office knowledge, and work with the back-office Developer.

? Work with all Vendors (bookkeeping, ADP, and others), Advisors, Lawyers, Agents, as well as the Event Planner (monitoring the Eventbrite website).

? Create and launch a benefits program for employees of the company.

? Implement an efficient record keeping system, printing and filing documents as-needed.

? Oversee the fraud system.

? Supervise and monitor other employees.
 

Requirements:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

? 2+ years of Executive Assistant experience in the financial services industry.

? Ability to travelinternationally once per month.

? Proficient in Microsoft Office Applications.

? Strong interpersonal and communications skills, a problem solver with initiative and the desire to grow with the company.

? Willingness to work long hours as-needed, someone who is flexible in order to get the job done.

? Familiarity with basic finance such as banking, accounting, A/P and A/R would be preferred, but is not required.

? Bachelors Degree preferred, but not required.

? Fluency in other languages is a plus.
