We are seeking an experienced executive administrative assistant to provide support to the Vice President of Finance and his organization. This position is available at Maxim Integrated headquarters in San Jose, California.
Job Responsibilities and Duties:
Represent the Finance organization.
Provide direct administrative support to Vice President, 2 Managing Directors and 2 Executive Directors. Assist the rest of the Finance organization as needed.
Maintain executive calendars in MS Outlook.
Schedule weekly, monthly & quarterly finance meetings – staff and Financial Close.
Schedule and support Annual Strategy Review and Operating Plan meetings with top company executives.
Consolidate and prepare materials for Board of Directors meetings.
Manage recruiting efforts, including interview schedules.
Arrange set-up of equipment, online systems and work spaces for new employees.
Monitor expense reports, and process purchasing requests and invoices.
Coordinate quarterly goals and annual reviews.
Interface with other departments such as legal, human resources, payroll, information technology, purchasing and facilities.
Arrange international and domestic travel; process requests for travel visas as needed.
Provide back-up support to the CFO and 2 other Vice Presidents, as needed.
Coordinate and assist with CFO group events.
Maintain Finance SharePoint site and Corporate Calendar.
Maintain Finance and CFO group organization charts.
Manage Finance library.
Other projects as assigned.
10+ years administrative assistant experience.
Highly professional verbal and written interpersonal skills with executives, assistants and staff.
Unwavering trustworthiness and integrity; ability to keep information strictly confidential.
Emotionally intelligent – including the ability to adjust to different work styles and personalities.
Organization and time management skills; ability to quickly prioritize multiple requests and projects.
Project management skills.
Strong attention to detail, accuracy, timeliness and follow-through; anticipates needs.

Proactive, self-motivated and dependable.
Positive, professional and flexible attitude, with ability to work independently or as part of a team. Uses tact and diplomacy and practical knowledge of company policies, practices and procedures.
High level of experience and proficiency in Outlook Calendaring.
Proficient in Excel, Word and PowerPoint. SharePointexperiencepreferred. Ability to learn new tools quickly and independently.
