The Executive and Administrative Assistant is responsible for providing support to the CEO and Senior Management team, maintaining relationships between internal and external stakeholders through the coordination of meetings, and assisting with various administrative and ad-hoc projects.
•Provide administrative support to the executive team by preparing all correspondence for signature, routing and follow-up as required.
•Maintain an updated and detailed calendar for the executives
•Arrange business travel including visa applications, flights, itineraries, conference registration, transportation and accommodations
•Maintain tracking/organizations system for members of the executive team
•Create, edit and professionalize PowerPoint presentations
•Advise executives of upcoming events and conference tradeshows
•Handle support and preparation for and process mail Coordinate Board of Directors meetings, Management meetings (eg. Sales Ops Review) and other business meetings Assemble business reports and materials for upcoming internal and/or external meetings
•Handle confidential matters and materials such as financial statements, contracts, project reports, etc.
•Ad hoc administrative tasks and special projects as required or requested
What skills you bring
•Minimum 10 years of Executive and Administrative Assistant experience
•Project management experience, with the ability to manage multiple projects and competing priorities
• Excellent written, verbal and interpersonal communication skills
•Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
•Strong organizational skills with the ability to pay close attention to detail
•Experience with calendar management, travel scheduling and event management
•Experience with visa applications preferred
